Mission & Purpose
United Way of the Northern Shenandoah Valley (UWNSV) is spearheading the Winchester Campaign for Grade-Level Reading - a collective impact initiative bringing together local nonprofits, small businesses, government agencies, community leaders, and the municipal school district. The Campaign’s mission is to increase the Virginia Standard of Learning (SOL) Reading pass rate to over 75% by 2032 by improving reading proficiency for all students by 3rd grade.
The Campaign focuses on three key areas: School Readiness (ensuring children are educationally prepared to enter school), Out of School Time (preventing summer slide and extending intentional literacy education), and Attendance (ensuring students are consistently present and positioned to succeed).
The Campaign Coordinator is the operational and strategic hub of the Winchester Campaign for Grade-Level Reading. This role is responsible for ensuring the Campaign runs effectively - driving coordination across partner organizations, owning the full meeting management lifecycle, and supporting strategic priorities in close partnership with the Director of Impact and Advancement.
Role Responsibilities
Meeting Management & Campaign Coordination (Primary)
This is the core function of the role. The Campaign Coordinator is expected to own the full meeting management lifecycle independently and with a high degree of professionalism and follow-through.
- Agenda Development: Prepare detailed, purposeful agendas for all Campaign meetings (Steering Committee, Work Groups, partner convenings) in advance, in coordination with meeting leads.
- Meeting Logistics: Manage all scheduling, calendar invitations, venue or virtual platform coordination, and materials distribution ahead of every meeting.
- Minutes & Action Item Tracking: Take clear, accurate meeting minutes for all Campaign meetings and distribute in a timely manner. Maintain a living action item tracker and proactively follow up with responsible parties to ensure accountability and on-time completion.
- Partner Communication & Engagement: Serve as the primary point of contact for Campaign partners between meetings. Maintain regular, proactive communication to keep partners informed, engaged, and aligned with Campaign priorities.
- Campaign Calendar Management: Own and maintain the master Campaign calendar, ensuring all meetings, events, deadlines, and milestones are accurately tracked and communicated.
Strategic Campaign Support
- Coordinate information, activities, and data across all Campaign partners and work groups.
- Support and inform strategic priorities for the Campaign in partnership with the Director of Impact and Advancement.
- Track and report on Campaign progress through regular reports and dashboards shared with the Steering Committee and UWNSV leadership.
- Provide administrative and operational support to committee and work group leaders.
- Staff and manage Campaign volunteers as needed.
- Track deliverables for Campaign funding grants and collaborate with appropriate UWNSV staff to ensure timely submission.
- Contribute to grant funding applications as needed.
- Present on the Campaign to Campaign partners, the UWNSV Board, community supporters, and others as needed.
- All other duties as assigned.
Marketing & Communications
- Graphic Design: Create and update Campaign graphics, flyers, event materials, and visual assets that reflect the Campaign brand and communicate progress to the community.
- Newsletter: Develop and distribute a regular Campaign newsletter to partners, stakeholders, and community supporters, highlighting updates, events, and impact.
- Website Updates: Maintain and update the Campaign website with current information, events, resources, and news on an ongoing basis.
- Social Media: Create and manage regular social media content across Campaign platforms to raise awareness, celebrate milestones, and engage the broader community.
- Support broader public relations and community outreach strategies in coordination with UWNSV communications staff.

Professional Qualifications
We welcome candidates from a variety of professional backgrounds. The right person for this role brings strong organizational and coordination skills, a collaborative mindset, and a passion for community impact. Relevant experience may include:
- Executive or senior administrative assistance, with demonstrated ownership of calendars, meeting management, and stakeholder communication.
- Teaching or education experience, particularly in early childhood, K-12, or literacy-focused settings.
- Project or program coordination, including managing timelines, deliverables, and multiple stakeholders simultaneously.
- 3+ years of professional experience in a coordination, administrative, teaching, or related role.
- A relevant degree (education, child development, nonprofit management, business, or related field) is preferred but not required. Equivalent experience will be considered.
- Nonprofit, community organization, or coalition experience is a plus but not required.

Desired Accomplishments
First 30 Days
- Become deeply familiarized with the Campaign, its history, current initiatives, partners, and marketing materials.
- Meet individually with the Steering Committee and each Work Group Lead.
- Audit and assume ownership of the Campaign calendar, meeting schedule, and any outstanding action items.
First 90 Days
- Independently facilitate full meeting management for all Work Group and Steering Committee meetings, including agendas, logistics, minutes, and action item follow-up.
- Establish a consistent, proactive partner communication rhythm.
- Support Campaign Steering Committee with strategic reviews and planning sessions.
- Assist with media and community events.
Grow Into
- Identify and contribute to grant applications in support of the Campaign.
- Confidently present on the Campaign for Grade-Level Reading to community groups, partner organizations, and funders.
