Organization Description
The Housing & Homeless Coalition of Central New York (HHC) is a non-profit organization working to reducing, preventing, and ultimately ending homelessness in Central New York. The HHC acts as the Collaborative Applicant, Homeless Management Information System and Coordinated Entry Lead for the United States Department of Housing and Urban Development’s (HUD) Continuum of Care (CoC) for Onondaga, Cayuga, and Oswego counties.
Position Summary
This position is designed to provide high level administrative and operational support to all departments in the organization. The position will work across a variety of programming and activities, including event planning, marketing and strategic communications, and data entry.
Accountability: Operations Coordinator
FLSA: Non-exempt, full time, 37.5 hours/week
Salary Range: $26/hr to $30/hr
Overall Responsibilities
· Assist in operational systems and processes in support of the organizations’ mission.
· Data entry for vendors in AR & AP system.
· Work with Operations Coordinator in maintaining and ordering office supplies
· Support staff with scheduling meetings, virtual or in-person.
· Assist with social media, data publications, and creative design for advocacy.
· Prepare and maintain the HHC newsletter and list serv.
· Attend all assigned meetings and assist in the preparation of meetings including meeting set up, minutes, databases, and other work as assigned.
· Assist division staff, such as Homeless Management Information System, Coordinated Entry System and CHANCE team with work overflow as needed and appropriate.
· Light reception duties.
· Assist in applicable grant preparation.
· Perform all other duties as assigned by the Operations Coordinator and Leadership Team.
Position Qualifications
· At least three years of administrative support experience, or creative design/marketing, preference given to non-profit experience.
· Experience and demonstrated skills in organization and management of multiple projects simultaneously with the ability to set priorities and meet deadlines.
· Proven ability to work with individuals from all levels and backgrounds; recognizes and values diversity; process information with consideration for cultural sensitivities.
· Proficient with MS Windows Office Suite; must have the ability to learn new and/or customized software.
· Ability to work with flexibility and independence.
· Ability to work overtime if necessary.
Skills / Capabilities
· Experience and demonstrated skills in organization and management of multiple projects simultaneously with the ability to set priorities and meet deadlines.
· Experience and ability to coordinate meetings, conduct trainings, and work with coalitions.
· Proven ability to work with individuals from all levels and backgrounds; recognizes and values diversity; process information with consideration for cultural sensitivities.
· Proficient with MS Windows Office Suite; must have the ability to learn new and/or customized software.
· Ability to work with flexibility and independence.
· Excellent verbal interpersonal skills for telephone and in-person communication.
· Strong oral and written English language skills for effective communication using excellent spelling, grammar, and writing skills. Must be able to carefully proof own work.
