Job Summary
The Human Resources Administrator is responsible for the day-to-day operations and administrative tasks of the HR office. They will maintain the HRIS employee database, handle general office functions, and assist employees and applicants with HR-related inquiries. Additionally, they will manage company communication and process semi-monthly payroll.
Responsibilities
- Handle company communication, including producing and distributing flyers on company bulletin boards, maintaining the ADP portal homepage and employee communications, such as Instagram and emails.
- Manage employee relations by overseeing gym memberships, bus passes, ski passes, shoe orders, uniform, and locker distributions. They will also send employee Birthday and anniversary cards and gift cards, organize awards for Employee of the Month & Manager of the Quarter programs, create and distribute an employee events calendar and monthly newsletter, and assist with employee engagement and recognition programs.
- Assist with general office tasks, including assisting employees with HR-related inquiries, maintaining office supplies and forms folders, managing driver's licenses for employees authorized to operate company vehicles, scheduling trips to the Social Security office for new visa employees, and completing special projects as assigned by HR Leadership.
- Handle employment verifications, assisting other employers and mortgage companies in verifying the employment of past and current employees and completing all written employment verifications received.
- Oversee payroll administration, reviewing and ensuring the accuracy of timesheets, benefit payouts, garnishments, and other deductions and earnings. They will also prepare manual checks when necessary, analyze manual checks for potential benefit accruals, and maintain employee payroll records.
- Assist with the recruitment and onboarding process by greeting applicants, answering inquiries, verifying I-9 documentation, and ensuring all onboarding tasks are completed. They will also assist new hires and rehires in completing paperwork, enrolling in computer systems, and maintain I-9 records.
- Handle other HR-related tasks, such as entering employee information into ADP, maintaining a file with completed I-9 forms, providing access to new employees for various systems, and enrolling in employee programs.
Qualifications
- High School Diploma or equivalent required.
- HR Degree or minimum of one year HR experience preferred.
- Attention to detail and strong organizational skills are essential, as well as the ability to multi-task.
- High degree of confidentiality required.
- Strong computer skills required, including proficiency with Microsoft Word, Excel, and PowerPoint. Experience with ADP or other HRIS is helpful.
- Bilingual (Spanish/English) skills are helpful.
Work Environment
- The work is primarily performed indoors, with moderate traffic and phone usage.
- The typical schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m., but may be flexible.
