Ready to Be the Heartbeat of a Thriving Law Firm?
Are you a master of first impressions, a meticulous organizer, and a proactive problem-solver who thrives on creating exceptional experiences? We're searching for that rare individual who can seamlessly blend warmth and precision, becoming the central pillar supporting our mission to empower families and businesses in Flagstaff. If you're ready to step into a role where your impact is felt daily, keeping our firm running smoothly and our clients feeling truly cared for, this is your opportunity.
About Flagstaff Law Group
At Flagstaff Law Group, we're not just drafting documents; we're building lasting relationships and guiding
families through life's most significant decisions with clarity and confidence. As a modern, relational law firm operating under a holistic model, we prioritize proactive planning and a "wow" client experience that sets us apart. Our mission is to provide thoughtful guidance and excellent work, ensuring every client feels
supported and cared for, not just during a client’s initial matter, but through every chapter of life.
About This Role:
You will be the welcoming face and organized backbone of Flagstaff Law Group, ensuring our clients feel
valued from their very first interaction. This isn't a passive desk job; it's a dynamic role where you'll
orchestrate smooth client journeys, provide essential legal administrative support, and actively contribute to our firm's growth by supporting our outreach efforts. You'll be the linchpin that allows our attorneys and
client service team to focus on high-level legal work, knowing that the details are expertly handled.
What You'll Be Responsible For
● Creating a Welcoming Environment: You will be the first point of contact, warmly greeting clients,
managing our reception area, and ensuring a polished, professional, and inviting office atmosphere.
● Orchestrating Client Flow: You will manage client check-ins and check-outs, process payments,
schedule follow-up appointments, and ensure every client interaction is seamless and positive.
● Essential Legal Administrative Support: You will provide critical backup to our Client Service
Coordinators, assisting with conflict checks, file building, scanning, preparing physical and digital
client binders, and supporting post-engagement tasks like recording deeds and drafting
correspondence.
● Proactive Client Communication: You will assist with reminder calls, check-in calls for client items,
and gather necessary information to keep cases moving forward.
● Supporting Firm Growth & Outreach: You will be a key partner to our Development Coordinator,
helping to manage our prospect list, conduct follow-up calls for educational event attendees, ensure
prospective clients complete homework, and support event setup/takedown.
● Data Management & Office Operations: You will assist with maintaining our client relationship
management (CRM) system, support newsletter and social media content execution, and manage
office supplies and mail.
Who This Is For
The Client Champion: You instinctively put clients first, anticipating their needs and going the extra
mile to make them feel heard, valued, and understood. Your warmth and professionalism shine
through every interaction.
● The Organizational Maestro: You thrive on structure, precision, and efficiency. You can juggle
multiple priorities, manage deadlines, and ensure no detail is overlooked, even in a fast-paced
environment.
● The Proactive Problem-Solver: You don't wait to be told what to do; you see what needs to be done
and take initiative. You're resourceful, bring solutions to the table, and are committed to continuous
improvement.
● The Growth-Oriented Team Player: You are eager to learn, integrate feedback, and grow with a
dynamic team. You understand that your role directly contributes to the firm's overall success and
are committed to collective purpose.
● The Tech-Savvy & Adaptable: You're comfortable with various software systems and can quickly
learn new tools to enhance efficiency and client service.
Who This Is NOT For
● The Clock-Watcher: If you're looking for a job where you do the bare minimum and leave precisely
at 5 PM, this isn't the right fit. We need someone deeply invested in our mission and our clients.
● The Lone Wolf: We are a highly collaborative team. If you prefer to work in isolation or struggle with
clear communication and accountability, you won't thrive here.
● The "That's Not My Job" Mentality: Our team members are proactive and supportive. If you're
unwilling to roll up your sleeves and assist where needed to ensure client satisfaction and firm
success, please do not apply.
● The Drama Generator: We foster a positive, respectful, and solution-oriented environment. If you
bring negativity, gossip, or a lack of personal responsibility, you will not be a cultural fit.
