Position Status: Full Time
Position Summary: Works under direct supervision of the State Director and provides operational support to State Director and team, as needed. In addition to clerical work, record keeping and scheduling, this position is responsible for duties such as coordination of meetings, obtaining supplies, coordinating correspondence, facilitating communication, and working on special projects for the State Director or other team members. Independent judgment is required to plan, prioritize, and organize diversified workload.
Primary Duties:
- To be a minister of the gospel of Jesus Christ to co-workers, clients and ministry partners
- Actively participates on the team in a manner aligned with scripture including, but not limited to, praying for and with other team members, sharing scripture in daily activities and leadership, modeling the character of Jesus Christ in interactions with team and any external clients, partners, vendors, etc.
- Disciples ministry partners and clients.
- Aligns team dynamics, internal & external processes, and final product of team’s work with Biblical principles and with Lifeline’s Core Values
- Provides direct support to leadership through a variety of assigned tasks. Tasks may include but are not limited to, organization of weekly calendars, managing correspondence, assisting on projects, filing paperwork, and interacting with clients.
- Adapts to changing tasks and priorities.
- Maintains, updates, and monitors data in Lifeline’s databases.
- Assists with tasks and logistics related to state specific events and initiatives.
- Joins the reception team in answering phones, directing callers, greeting clients and visitors, and responding to inquiry emails.
- Works with departmental staff to remain informed of any changes in programs and policies.
- Create monthly state newsletter content monthly newsletter, if requested
- Plan and coordinate planning for annual events, as needed
- Update information in SAM and Virtuous databases regularly from databases & offline sources.
- Tracks mail and/or emails for the State Director. Drafts written responses or replies by phone or e-mail when necessary, if requested
- Works independently and within a team on special nonrecurring and ongoing projects.
- Supports the State Director in maintenance of the state finances, as needed. Activities include through Webexpenses.
- Demonstrates proficiency/ seeks to gain proficiency in systems needed to fulfill the role. These systems include, but are not limited to: Lifeline databases, SharePoint, Outlook, Microsoft products, Adobe Sign, Lifeline’s Learning Education Portal, Teams, Zoom, Canva, Lifeline’s Branding Guidelines, etc.
- Acts as a liaison between other departments to ensure clear internal communication.
- Works with Lifeline’s IT staff to ensures office equipment is in good working order.
- Works with discretion to maintain confidentiality of sensitive information.
- Assists with and attends agency sponsored events
- Represents the agency in a professional manner in and away from the office.
- Maintains good working relationships with co-workers, including resolving all disputes in a Biblically prescribed fashion.
Other duties:
- Assisting in agency-related events, including the annual staff retreat, the annual dinner, anniversary celebrations, across all Lifeline programs

- Encourages and supports church engagement efforts, including live presence opportunities, adoption information meetings, and biblical teaching on caring for vulnerable children.
- If qualified by the state, conduct home studies, post placement/adoption reports or other related adoption services for families in your geographical area when necessary.
- Other duties as assigned by supervisor or member of the Executive team

While primary responsibilities are outlined, employees may be asked to support additional programs, service areas, or initiatives based on organizational needs, workload/caseload demands, and supervisor direction. Any additional duties will be consistent with the employee’s training, licensure, role classification, and Fair Labor Standards Act (FLSA) status and will not fundamentally change the nature of the position.
Minimum Requirements:
- At least two years of undergraduate education or equivalent experience, required
