About the Preservation Artisans Guild
The Preservation Artisans Guild (PAG) is a Portland-based 501(c)(6) nonprofit association dedicated to preserving our material culture through a community of skilled artisans. Our members are experts in traditional building crafts, fine arts, decorative arts, and architectural conservation — united by a shared commitment to excellence and historical integrity. PAG connects the public with truly qualified preservation professionals and advocates for best practices across the field.
The Role
PAG is seeking a reliable, organized, and self-directed Virtual Assistant to support the day-to-day operations of our organization. This is a part-time independent contractor position, ideal for someone who appreciates craft, history, and community — and who enjoys a varied, relationship-centered role. You’ll be working directly with PAG’s leadership and will play an important role in keeping our membership engaged and our organization running smoothly.
Responsibilities
• Website Updates (WordPress): Maintain and update the PAG member directory, including creating new member profiles and editing existing ones. Basic WordPress familiarity required; no coding necessary.
• Social Media Management: Create and schedule posts on Facebook and Instagram to promote member news, events, and preservation-related content. Consistent, thoughtful voice preferred over high volume.
• Event Coordination: Support the planning and logistics of approximately four events per year, including vendor coordination, venue communication, and day-of details as needed.
• Member Email Newsletter: Draft and distribute a monthly email newsletter to PAG members covering upcoming events, member project spotlights, and relevant industry news. Familiarity with Mailchimp or similar platforms is a plus.
• Inquiry Response: Monitor and respond to website and general inquiries (approximately 10 per month), routing questions appropriately and representing PAG in a professional, welcoming manner.
• Annual Dues Collection: Manage the annual member dues process, including reminders, tracking, and follow-up as needed.
• SWAG & Member Materials: Oversee the design and production of PAG-branded merchandise (hats, pins, pens, t-shirts, etc.) in coordination with vendors.
• Vendor & Contractor Management: Serve as the primary point of contact for PAG’s service vendors, including Vimeo, SiteGround, videographers, caterers, and others as needed.
Ideal Candidate
• Organized, dependable, and comfortable working independently with minimal supervision
• Strong written communication skills — warm, professional, and clear
• Comfortable with WordPress, social media platforms, and basic email marketing tools
• Able to manage multiple small tasks across a monthly cycle without dropping the ball
• Genuine interest in arts, craft, preservation, or history is a meaningful plus
• Prior nonprofit or membership organization experience is welcome but not required
• Local to Portland or willing to be available for occasional in-person event support (preferred, but not required)
Compensation
This is a paid independent contractor position. Compensation is negotiable based on experience and scope. PAG is a small, member-funded nonprofit, and we are seeking a candidate who values mission-aligned work alongside fair compensation. Please include your hourly rate or monthly retainer expectations when applying.
How to Apply
Please send the following to info@presevationartisans.org with the subject line “PAG Virtual Assistant Application”:
• A brief note (not a formal cover letter — just tell us a little about yourself and why this role appeals to you)
• A resume or summary of relevant experience
• Your hourly rate or monthly retainer expectation
• Any links to social media accounts, websites, or projects you’ve managed (if applicable)
We will review applications on a rolling basis and will reach out to candidates who appear to be a strong fit for a brief introductory conversation.
