About the American Society for Surgery of the Hand
The American Society for Surgery of the Hand (ASSH) is a prestigious, professional medical society with a membership of more than 5,500 surgeons and healthcare professionals. The mission of ASSH is to advance the science and practice of hand and upper extremity surgery through education, research, and advocacy on behalf of patients and practitioners. ASSH provides educational opportunities for surgeons in the form of webinars, online resources, courses/meetings, textbooks, practice examinations, medical journals, and communities. ASSH also fosters basic science, clinical, and outcomes research grants, and provides hand surgery to underserved communities around the world.
Location: Chicago, IL (Hybrid – 2 days per week in office on Tuesdays and Wednesdays)
Salary Range: $45,000 - $48,000
Job Summary
The Publications Coordinator is an important member of a five-person communications team at the American Society for Surgery of the Hand (ASSH). This role provides essential support for ASSH’s two medical journals, which are central to the organization’s mission. The coordinator provides support on article submissions, author communications, social media, and other special projects as directed by department leadership. This position reports to the Editorial Manager.
Responsibilities
Journal Operations & Editorial Support
- Process new and revised manuscript submissions daily
- Track delinquent manuscripts and follow up with authors as needed
- Serve as back-up to the Editorial Manager across all journal workflows
- Support journal editors and editorial board members as needed
- Manage Journal Club listings and coordinate Journal Club activities
- Assist staff with retrieving published articles and figures
Communications & Marketing
- Create and distribute monthly and bi-monthly Table of Contents emails when new journal issues are released
- Develop and send journal-related marketing emails
- Manage and maintain social media accounts for both ASSH journals (X, Facebook, Instagram)
- Manage journal mailboxes and provide timely customer support to authors, reviewers, and members
- Write weekly stories for the Journal section of the ASSH member newsletter
- Update the ASSH website with current journal information as needed
Publications & Administrative Support
- Process and ship textbook orders from the ASSH warehouse (located in the building); this includes physical handling and lifting of materials
- Provide support on book production projects, including gathering author documents and organizing images and chapter drafts
- Contribute to the overall mission of the Communications/Publications department
- Assist with special projects assigned by department leadership
Qualifications
- Bachelor's degree in Publishing, Communications, Journalism, English, or a related field
- 1–3 years of relevant experience in publishing, communications, or editorial support
- Demonstrated project management experience
- Social media management: X (formerly Twitter), Facebook, Instagram
- Ability to work both independently and collaboratively in a team environment
- Ability to manage multiple priorities and meet deadlines independently
- Professional demeanor when interacting with surgeons and staff
- Strong editing and proofreading skills
- Excellent written and verbal communication skills
- High attention to detail and exceptional organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Travel Requirements
- Occasional travel may be required for training sessions, meetings, or conferences. Travel is within the U.S. and is estimated to be up to 5% per year.
