Volunteer Program Manager
Part-Time (15-20 hrs./week); Non-exempt
About Us: Borland Free Clinic is a growing faith-based, nonprofit medical clinic in Tualatin, Oregon that offers free medical care and various specialty services to the uninsured and underserved of south metro Portland.
Position Summary: The Volunteer Program Manager is responsible for recruiting, onboarding, supporting, and retaining clinic volunteers, as well as cultivating relationships with community partners. This role ensures volunteers feel welcomed, equipped, and valued, and that community relationships strengthen the clinic’s mission and capacity.
To assist in helping, supporting, and onboarding volunteers, It is expected that the Volunteer Program Manager will be regularly present during the start of each clinic shift. Current clinic operating hours are: Mondays 3-7 PM, Wednesdays 9 AM - 1 PM, Thursdays 3-7 PM, plus one anticipated 4-hour clinic to be added in 2026. Additional hours can be completed remotely.
Essential Duties and Responsibilities:
Volunteer Program Management- Respond to volunteer inquiries and coordinate onboarding process, including applications, orientations, shadow shifts, and compliance with clinic policies.
- Coordinate with clinic staff to assess and meet ongoing volunteer needs.
- Schedule and recruit volunteers for clinic shifts and seek last-minute replacements, as needed.
- Maintain accurate volunteer records in Volgistics, including routine audits for completeness.
- Assist the Executive Director with FTCA deeming applications related to volunteers.
- Partner with the Operations Manager to maintain and update the volunteer handbook and policies.
- Track and report monthly volunteer hours.
Volunteer Engagement & Retention- Compose and distribute a regular volunteer newsletter.
- Plan and execute volunteer appreciation initiatives, including events and personal acknowledgements (e.g., birthdays, milestones).
- Serve as a primary point of contact for volunteer questions, concerns, and transitions.
- Foster a welcoming and mission-aligned volunteer culture.
Community Outreach & Partnerships- Cultivate relationships with churches, schools, and community organizations.
- Represent the clinic at community events and outreach opportunities, as needed.
- Develop and manage volunteer pipelines and community partnerships.
Events & Collaboration- Lead planning and execution of volunteer-centered events (e.g., appreciation, orientations, trainings).
- Recruit, coordinate, and manage volunteers for fundraising and mission events.
- Serve as a planning committee member for major clinic events, including the annual gala, contributing volunteer expertise and support.
Communications- Own volunteer-facing communications.
- Collaborate on public-facing communications (e.g., website, social media) by contributing volunteer stories, photos, and updates.
Teamwork- Be a team player who is open to cross training and filling in for other staff members, when necessary.
Other Job Functions:
- Attend monthly staff meetings.
- Be present at all clinics, especially the beginning of clinic shift hours.
- Attend regular one-on-one meetings with the Executive Director.
- Record hours worked daily.
- Purchase only expenses approved by the Executive Director.
- Maintain workplace confidentiality and discretion.
- Adhere to all clinic policies.
- Additional duties may be assigned to meet immediate organizational needs.
Working Conditions:
- Part-time schedule (15-20 hours per week), with flexibility in working hours.
- Occasional evening or weekend availability for special events or meetings.
- Position requires prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 50 pounds at a time.
Qualifications:
- Bachelor’s Degree in a related field preferred (e.g., Communications, Human Services, Nonprofit Management).
- Previous experience in volunteer coordination, community engagement, or nonprofit work.
- Strong written and interpersonal communication skills.
- Proficiency with volunteer management systems and digital tools (Volgistics, Google Workspace, Microsoft Office).
- Experience with content creation tools (e.g., Squarespace, Canva) a plus.
- Strong organizational skills and attention to detail.
- Ability to build positive relationships with diverse groups.
- Self-directed, compassionate, and service-oriented.
Compensation:
- Base wage of $24-$27/hour, depending on qualifications and experience
- Select paid holidays
- Two weeks paid vacation for first two years of employment; three weeks thereafter
- $26 per month cell phone stipend (taxed)
- 50% premium coverage for medical, dental and vision benefits
