Position Summary
At the direction of the Project Manager, Senior Associate, and Associate, the Project Coordinator implements day-to-day project tasks. This may include drafting written materials, research, database maintenance, coordination of logistics for public meetings, social media, and surveys. The Project Coordinator strives to deliver excellent customer service to internal teams, vendors and clients. Project Coordinators take direction on resource allocation to develop strong time management skills and works within time constraints and budgets of projects.
Location: Oakland, CA or Orange, CA area
Job Responsibilities
Writing and Graphics
- Write competently in a variety of styles
- Draft press releases and display ads
- Draft newsletter and website content
- Draft social media content
- Draft tables, charts, and simple graphics
- Draft reports that document public meetings, including open house reports and action item reports
- Draft reports for social media and media buy campaigns
- Understand the relationship between text and design
- Meet company quality and consistency standards
Meeting and Logistics
- Locate and confirm meeting site and arrangements
- Coordinate technical needs for virtual meetings
- Rent meeting equipment and assemble meeting supplies
- Coordinate and assist in the production of all meeting materials
- Prepare and place display ads and meeting announcements
- Implement meeting set-up and break-down
- Assist with running virtual meetings
- Assist with documentation and follow-up
Research and Documentation
- Coordinate mailing list creation, revisions, and maintenance
- Support project documentation
- Draft and implement surveys
- Draft materials and questionnaires for stakeholder interviews
- Obtain census or other demographic information
Product Production
- Ensure quality and accuracy of information in specific products
- Coordinate with project vendors
- Coordinate product development with guidance from the Project Manager
- With direction, plan and implement large mailings
Other General Duties
- Assist in the maintenance of project files and organization
- Monitor information lines and website comments and draft responses for review
- Monitor social media channels and coordinate responses as needed
- Develop an understanding of team needs and expectations, and begin to anticipate those needs
- Attend and participate in team meetings
- Maintain 90% utilization
Job Requirements
- Degree in communication, journalism, planning, environmental studies, or related field
- Strong customer service orientation
- Experience in proactive public outreach
- Strong communication and presentation skills
- Competent business and public information writer
- Proficient in Microsoft Office Suite and some skills with Adobe programs
- Strong organization and time management skills
- Produce high quality work in a timely and efficient manner
- Valid driver’s license and a clean driving record
- Travel during work day, at nights, and on weekends to public meetings and events, typically 1-2 times per month
- Physical demands include ability to lift and carry meeting and event supplies up to 20 pounds, typically to and from vehicle and event location
- Work environment is office setting and occasional work at public events
