Summary:
This employee’s primary job duty is the responsibility for coordinating all firm events and serving as point of contact for sponsorships. Please keep in mind that we are a relatively small organization and flexibility is important, including possible work assignments outside the confines of this description.
Duties:
- Create monthly report from database on number and source of intakes as well as newly opened active cases. This report is intended to strategically guide future marketing/advertising expenses. Report would include the number of intake calls received; number of intakes rejected, referred internally, referred externally; and number pending consideration. It would also attempt to identify the marketing or referral source of the call.
- Logistical management of all firm events, sponsorships and hosted events. This includes staff events, firm celebrations, attorney events, and political fundraising events. Responsibilities for these events include arranging for the location, food and beverage, coordinating calendars, setting a budget.
- Coordinate photo shoots for attorneys.
- Legal Organizations and Various Sponsorships: Point person for sponsorships, registrations, table purchases, providing attendees’ names, and advertisement materials, etc. in appropriate format. Coordinate with legal journals for publication of printed and/or digital announcements, advertisements, and/or reprints (including The Recorder, Daily Journal, Super Lawyers, Best Lawyers, Lawdragon, Irish Legal 100).
- For issues of Focus on Torts, including compiling, formatting, proofing; also maintain an updated mailing list. Work with partner overseeing marketing, outside designer, bulk mailer and liaison with on-line marketing vendor for the digital version. Maintain and update mailing list of approximately 25,000
- Maintains promotional materials for providing to sponsored events.
- Serve as firm liaison to assist with website updates as required..
- Serve as point of contact for venue and attendees. Communicate and review all event details to ensure accuracy.
- Coordinate coverage and content of weekly Huddles.
- Schedule and manage the logistics of firm conducted Focus Groups.
- Point person for marketing related vendors, solicitors (including Website solicitations), and counsel requesting use of space or conference rooms, etc.
This employee reports to and works under the direct supervision of the Chief Operating Officer. This is a non exempt position.
Requirements:
- Bachelor’s degree
- 1-2 years of marketing, communications, media or event planning experience.
- Excellent written and verbal communication skills.
- Strong attention to detail and demonstrated ability to work effectively in a team as well as independently.
- Advanced experience with Microsoft Word and Excel, and Adobe.
- Organized – You are able to prioritize and manage a myriad of tasks at once.
- Team Oriented – You are willing to help out on projects that drive the company forward, regardless of whether they are your responsibility or not.
- Ability to work effectively with multiple individuals and manage several projects at one time.
- Must be able and willing to lift, push or pull 25 pounds
