Valor Executive Search has an amazing opportunity for a polished, articulate and detail-oriented Executive Services Administrator. This is a direct-hire position with an exclusive business brokerage firm whose offices are located within the company’s airplane hangar in North Scottsdale.
As an Executive Services Administrator, this individual is the first point of contact for business consultants and their clientele base of high net worth individuals.As such, the right ‘persona’ for this role will be polished, well-poised and a possess a good degree of ‘charm’ to create an environment of high professional standards.
How will you keep busy in this role? There is a wide variety project of work on behalf of the brokerage, including: presentation development, client database management, client meeting preparation, email broadcasts, and project coordination with marketing agencies. Additionally, this individual will assist the Chief Principal by providing administrative support.
Informal client meetings and board meetings are occasionally hosted at the company's headquarters. The Executive Services Administrator will assist with calendaring and coordination of these of meetings, as well as ensuring the conference room is well-stocked. The company additionally hosts two large VIP events within their airplane hangar requiring complex event planning.
Essential Requirements:
- 3+ years stable experience as an administrative assistant, executive assistant, marketing coordinator, office manager or equivalent
- Type 45+ words per minute and produce error-free correspondence
- Must have a strong command of the Microsoft Office Suite (Word, Powerpoint, Outlook, working knowledge of Excel)
- Working knowledge of CRM databases such as Salesforce or Microsoft Dynamics
- Congenial, poised, friendly and polished demeanor; must be a “people-person”
- Self-starter and proactive; able to stay on task without supervision
- Internet "sleuth”; able to identify and locate relevant information in order to problem-solve
- Able to anticipate other’s needs in order to provide top-notch service
- Keen eye for precision; able to produce error-free content
- Strong learning aptitude; able to grasp and leverage evolving technologies;
- Excellent listening skills with strong memory-retention
- Associates degree or higher
Nice-To-Have / Preferred:
- Administrative experience with mergers & acquisitions, investment offerings or brokerages is a plus
- Graphic design experience; familiarity with Adobe Suite or Canva
- Exposure to Wordpress or similar website building tools
Essential Job Functions:
- Assist with the management of general project workflow for a team of business brokers
- Assemble investment marketing collateral through the use of pre-established templates; compile presentation components from PowerPoint, Excel and Word
- Provide internet research assistance using business research tools and list building services
- Serves as quality control support in areas of marketing & communications ensuring marketing collateral is error-free and meets company standards
- Serve as “Director of First Impressions”; build an environment of professionalism and high-service to ensure each VIP guest is welcomed upon arrival
- Assist Chief Principal with administrative functions, such as scheduling and preparation of correspondence
- Manage reception and conference room areas to maintain orderliness
- Assist with hosted board meetings, manage conference room schedule; manage meeting room set-up and clean-up
- Participate in event planning and assist with presence at company forums and event functions
- Launch email campaigns using the company’s email platform and database
- May include any of the following pending one’s expertise: website updates, newsletter creation, and graphic design
- Maintain strict confidentiality applying discretion when liaising with clients and business prospects
Compensation
Salary: $60,000-$75,000, plus benefits
This is a full-time direct-hire position, Monday - Friday
