About IFDFThe Independent Funeral Directors of Florida (IFDF) is a statewide professional association dedicated to supporting independent funeral service professionals and the families they serve. Guided by our commitment to Families Serving Families, we work to strengthen independent funeral service through advocacy, education, professional development, and meaningful industry relationships.
We are seeking a highly organized, technology-savvy, self-motivated professional to join our team in Tallahassee. This position is ideal for someone who enjoys variety, takes initiative, learns quickly, and finds satisfaction in making an organization run more efficiently.
About the Role
This is more than a traditional administrative position. The Administrative & Membership Operations Coordinator will support the daily operations of IFDF while taking ownership of projects, membership data, technology systems, and some event logistics.
The ideal candidate is comfortable balancing routine administrative responsibilities with independent projects, troubleshooting processes, and identifying opportunities to improve efficiency. We are looking for someone who is curious, resourceful, detail-oriented, and eager to master our association management software, NOVI AMS.
Key Responsibilities:
Membership & Technology
- Maintain accurate membership records, contact information, and organizational data.
- Become the in-house power user of NOVI AMS, learning its capabilities and helping IFDF maximize its use.
- Identify opportunities to streamline workflows, improve data accuracy, and increase operational efficiency.
- Manage projects such as the annual Membership Directory, including data verification, coordination, deadlines, and quality control.
- Maintain spreadsheets, digital records, online forms, and other administrative tools.
- Assist with membership communications, renewals, onboarding, and record updates.
Administrative & Operational Support
- Manage daily administrative tasks, correspondence, document preparation, filing, and data entry.
- Track project timelines, deadlines, and outstanding tasks to ensure timely completion.
- Coordinate with members, suppliers, sponsors, committee members, and other industry partners.
- Support the Executive Director and association leadership with meeting preparation, follow-up, and special projects.
- Evaluate existing procedures and recommend practical improvements.
Events & Conference Operations
- Coordinate registration logistics for IFDF meetings, educational programs, and special events.
- Manage registration desks, attendee check-in, name badges, registration lists, and on-site questions.
- Play a key role in the planning and execution of the IFDF Annual Conference & Trade Show, including preparation, registration, attendee support, and on-site troubleshooting.
- Assist with event communications, materials, schedules, and supplier coordination.
- Travel as needed to support association events, including occasional overnight stays.
What We're Looking For
- Strong computer skills and a genuine interest in learning new software and technology.
- Demonstrated ability to learn unfamiliar systems, troubleshoot problems, and work independently.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple projects, meet deadlines, and follow through without constant supervision.
- A proactive, solutions-oriented mindset and willingness to take ownership of responsibilities.
- Professionalism, sound judgment, discretion, and a collaborative attitude.
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook, or comparable productivity tools.
- Ability to travel occasionally for conferences and association events.
Experience with association management software, membership databases, CRM systems, data management, or event registration platforms is a plus. Experience with NOVI AMS is welcome but not required; the ability and motivation to master the system are essential.
What Success Looks Like
Within the first year, the successful candidate will be expected to:
- Become proficient in NOVI AMS and confidently manage routine system functions.
- Maintain reliable, accurate, and organized membership data.
- Coordinate the Membership Directory project from data collection through final quality review.
- Independently manage registration logistics for association events.
- Help identify and implement improvements to administrative workflows.
- Provide dependable follow-through that allows the IFDF team to focus on serving members and advancing the association's mission.
