Typical Day in the Role

• Purpose of the Team: The purpose of this team is UX Research team for Windows and Devices org.

• Key projects: This person will help with operations side of the business for research. Put in place processes for participant recruitment and manage centralized systems. create standard operation procedures for the research operation part of the business.

• Typical task breakdown and operating rhythm: The role will be: 30% meetings, 50% heads down creating documentation and establishing procedures,10% connecting with suppliers to manage projects, 10% creating purchase orders in MyOrder.

Job Description:

Helps to build and scale global research programs to strengthen the impact of our world-class UX Research team. They do this by implementing operational systems, connecting teams and knowledge, and problem-solving operational hurdles to enable Researchers to do their most impactful work.

This role will manage and build operational processes and programs within the research team. This will require working closely with Research Managers. The ideal candidate enables the UX Research team's best work by leading strategic planning of programs, navigating ambiguous situations, managing short-term projects, connecting resources to research needs, and removing barriers to doing great work.

An expert in driving rhythm of business to improve the research team’s processes to increase and ensure efficiency, communication, and performance across the team, including managing a calendar of activities and planning milestones, helping the team schedule learning trainings, as well as establishing and driving processes for team-internal communication and stakeholders communication (e.g., email templates, newsletter, team SharePoint site).

The ideal candidate is a self-starter, resourceful, highly organized, detail-oriented, and collaborative. This role requires program management experience and strong leadership skills. You should be passionate about the services we provide, the people that we serve, and the impact of research on those services.

Key Responsibilities:

• Manage centralized systems and processes for organizing participant recruitment, for liaising with external recruitment companies (Knowledge of MyOrder purchase order request tool is a plus).

• Tools and infrastructure: Keep track of all the administration of licenses for software. Working with procurement, legal and finance colleagues to manage our preferred suppliers list and licensing of our tools.

• Governance: Document our standard operating procedures, including data security and compliance. Managing data and access to data within tools, including customer information (data handling/privacy/GDPR). Conduct privacy reviews.

• Knowledge management: Manage our library of best practice templates and guides. Helping the team to maintain our user needs framework and library of research insights. (Knowledge of SharePoint is a plus).

• Manage the research backlog for the whole team, which will help researchers prioritize their workload and ensure visibility of resources. (Microsoft ADO is preferred and a plus)

• Help the Research Managers with budgets and resources.

• Help Research Team to leverage data informed insights to drive operations improvements such as efficiency and accuracy.

• Create, scale, and execute strategic programs to ensure the team is working at optimum efficiency.

• Drive participant management process improvements and identify opportunities for optimizing workflows.

Role Requirements:

• Experience working in an operations role.

• Communication skills for interacting with and using data to drive change with cross-functional stakeholders.

• Collaborate with Research Team and cross-functional partners to create, maintain and refine participant recruiting processes, programs, and partner vendors.

• Experience building relationships with peers and stakeholders.

• Manage and prioritize multiple Participant Management Infrastructure projects and programs.

• Partner with Research Managers on predicting roadblocks, identifying creative solutions, finding resources, and developing relationships with key stakeholders.

• Experience working in a fast-paced environment that requires independent time management, task prioritization and flexibility; embracing ambiguity, demonstrating creativity, being detail-oriented, and delivering results in a highly organized manner.

• Experience in problem-solving and resourcefulness with a detail-oriented approach and organizational skills.

• Experience using MS Office tools (Excel, PowerPoint, Word, Visio, or other process mapping software).

Candidate Requirements

• Years of Experience Required: 5-7 overall years of experience in the field.

• Degrees or certifications required: NO degree is required to be eligible for this role.

• Disqualifiers: Candidates who are not comfortable with budget and Po work will not be eligible for the role.

• Best vs. Average: MSFT experience nice to have. If they have worked in a Research Operations role before.

• Performance Indicators: Performance will be assessed based on how they meet deadlines and quality of work, team feedback.

1. Minimum 5 years Familiarity working within the UX Research field and participant recruiting methods

2. Minimum 5 years experience work with budget management (PO/SOW ect)

3. Minimum 5 years experience with Experience Documenting operating procedures

Summary:

Job Responsibilities:

• Forecast and track marketing and sales trends, analyzing collected data.

• Conduct research on consumer opinions and marketing strategies, collaborating with marketing professionals, statisticians, pollsters, and other professionals.

• Devise and evaluate methods and procedures for collecting data, such as surveys, opinion polls, or questionnaires, or arrange to obtain existing data.

• Gather data on competitors and analyze their prices, sales, and method of marketing and distribution.

• Measure the effectiveness of marketing, advertising, and communications programs and strategies.

Skills:

• Verbal and written communication skills, negotiation skills, customer service and interpersonal skills.

• Basic ability to work independently and manage one’s time.

• Basic knowledge of principles and methods for showing, promoting, and selling products or services.

• Basic knowledge of media production, communication and dissemination techniques and methods.

Education/Experience:

• Bachelor's degree in marketing or equivalent training required.

• 5-7 years related experience required.
