The Adrian Dominican Sisters are currently seeking a Full Time Administrative Assistant to assist the Chapter/Mission Prioresses Office (Congregation Leadership Team) in managing the administrative aspects of the office by maintaining financial information, preparing reports, drafting communications, recording and distributing meeting minutes, electronic filing, answering phones and other related duties.

In this role you will provide direct office support to three Prioresses who manage the affairs of nearly 145 Adrian Dominican Sisters carrying out their missions across the United States. Hours: 8am - 4:30pm, Monday - Friday. Occasional weekend hours may be necessary for special events (specifically there are four annual meetings that occur on the weekends when attendance is required), some flexing shifts based on need. Some travel required.
Pay: 16.50 - 17.00/hr.

Responsibilities
- Manage Chapter Office and maintain membership files and listings, financial and budget records and inventory.
- Maintain appropriate information for Office of Information (e.g. assembly, Mission Council minutes, etc.) and send to the Office of Information.
- Assist in planning and organizing Chapter events, meetings and celebrations.
- Maintain office filing system and coordinating with Congregation Database Administrators.
- Process contacts directed to office phone and/or email.
- Prepare outgoing mail and sort incoming mail.
- Assist with monthly newsletter as requested.
- Update listings of Chapter, Mission Council and Mission Group membership, as well as congregation directories
- Prepare forms for changes in residence, ministry, Mission Groups, and transfers from/to Catherine of Siena Mission Chapter and other Mission Chapters.
- Manage Durable Power of Attorney (DPOA) and other pertinent information from Emergency Medical, Finance and Home forms for Chapter membership.
- Prepare welcome information for new members.
- Upon the death of a sister, assist the Chapter Prioress in (1) making necessary phone calls to obtain and communicate information about wake/memorial/funeral arrangements and (2) distributing personal items to designated offices
- Distribute, log and file individual and Mission Group annals
Requirements
Education: Must have high school diploma; college level education is preferred.
Experience: Two to three years of office administration experience required.
Knowledge, Skills, And Abilities
- Good communication, computer and organization skills.
- Proficiency in the use of Microsoft Office suite applications, social media, and virtual technology (Zoom, Webinars, Canva, etc.).
- Ability to initiate and carry out projects.
- Ability to maintain confidentiality.
- Must be self-motivated, flexible, and adaptable.
- Flexibility assisting 3 members of the Chapter leadership and Sister members spread across 4 time zones.
- Must be comfortable working with elderly population and patient when assisting with technology needs.
Physical: Must be able to sit for long periods of time, able to move from location to location on campus, must be sighted and capable of hearing. Annual flu vaccine required for this position.
