Job Summary
The Benefits Specialist reports to the Manager of Benefits and is responsible for coordinating the benefits program for NCH.
Essential Duties And Responsibilities

- In a responsive and professional manner, the Benefit Specialist serves as a point of contact for NCH employees for all benefit plans and benefit related matters.
- Provides employees with accurate information and assists with resolving benefit questions and concerns per our plan document and policy.
- Processes employees’ Life Events and ensures accuracy of benefit elections/changes and supporting documentation provided by the employee supports the request. Troubleshoots benefit issues with other applicable People and Culture (P&C) staff and benefit carriers.
- Tracks new hires and transfers and provides weekly reminders to employees and managers to ensure benefits are completed by the deadlines.
- Serves as a liaison between third party benefit providers and employees, such as medical, dental, vision, COBRA and flexible spending administrators and other applicable entities.
- Works closely with Payroll, P&C team, Information Technology, and P&C Leadership to ensure accurate and timely processes and changes.
- Responsible for the preparation of employee benefits communications including enrollment materials, newsletter articles, personalized letters, and mass mailings. Creates and updates forms and documents to ensure they are current, accurate and relevant with benefit plans, etc.
- Reviews and updates MyNCH and third-party websites with current benefits information, forms, etc.
- Administers the retirement plan including employee enrollment, audits between carrier and employer data, ensures accuracy of employer match, etc.
- Understands how benefit interfaces work, troubleshoots, and identifies data interface issues and works with IT HRIS and carriers to resolve.
- Assists with benefits configuration and self-service functionality within the P&C system. Participate in testing new functionality and system upgrades.
- Conducts Employee Benefit Orientation presenting benefits options, eligibility, plan provisions, premium costs, and employee responsibilities clearly and concisely.
- Prepares weekly and monthly benefit vendors invoicing and maintains the benefits spend spreadsheet.
- Maintains the Procedures Manual for this role ensuring all processes and procedures are current and up to date including all benefit and insurance carrier information on the Intranet.
- Actively participates in system upgrades, new modules implementation, process and system designs as needed.
- Conduct regular audits of benefits data to maintain accuracy and compliance.
- Participate in benefits-related projects, events, and initiatives including but not limited to Benefit Fair and Open Enrollment.
- Assist with the monthly and yearly PPACA processes.
- Bi-weekly payroll process including 401K Employer Match for rehires, One-Time-Deductions, and update any benefit changes from carriers.
- Work through weekly/monthly error reports and Term-by-Omission reports from vendors on a timely matter.
- Manages bi-weekly/monthly manual interfaces and sends them to the vendors on a timely matter.
- Collaborates with, is cross trained in, and performs basic job duties of other P&C staff. Serves as a professional and can assist customers in all basic P&C functions.
- Provides backup to other P&C positions as appropriate and needed.
- Provides coverage as needed to help administer LOA, including reviewing and approving LOA requests, managing the timecard and benefit premiums for employees on LOA, communicating with the employee and supervisors throughout the process, working together with Business Managers on accommodations or other employee relation issues, etc.
Education, Experience And Qualifications
- Minimum of bachelor’s degree with 2 years working in a benefits or related role OR Associates Degree with 5 years working in a benefits or related role OR High School/GED with 8 years working in a benefits or related role required, preferably in Human Resources or closely related field.
- Requires a sound working knowledge of statistical concepts and data collection procedures.
- Strong understanding of HRIS and Payroll systems; preferably Kronos and INFOR.
- Must be able to prepare and analyze reports and presentations and present ideas clearly and concisely, both orally and in writing.
- Strong knowledge of databases, reporting and query tools required.
- Strong attention to detail, accuracy, and the analytical ability to solve problems and issues.
- High level of proficiency with Windows, MS Word, MS Excel, MS Outlook required.
- Strong analytical, organizational skills communication skills required.
- Self-motivated to be organized, achieve high performance standards, and accept accountability for performance.
- Experience balancing a dynamic workload with constantly changing priorities, deadlines, and project scopes.
