The Metropolitan Milwaukee Association of Commerce (MMAC) is seeking a Marketing & Administrative Coordinator to manage communications logistics, maintain data accuracy and provide essential support across departments. From scheduling email campaigns and updating websites to assisting with reports and stakeholder outreach, this role keeps MMAC’s marketing and administrative operations aligned and effective.
The Role:
The Marketing & Administrative Coordinator supports the organization’s communication, marketing and administrative functions through the coordination of email campaigns, digital content and administrative processes. This role ensures that messaging to members and stakeholders is consistent, professional and timely, while also assisting with day-to-day administrative support for MMAC.
This position reports to the Marketing Manager and works collaboratively with staff across departments.
Key Responsibilities may include (dependent on skillset):
Email & Newsletter Coordination
- Schedule, proof and deploy organizational and programmatic email campaigns.
- Maintain an email content calendar and coordinate timing with departments.
- Track performance metrics and prepare reports on open and click rates. Use insights to refine content and improve engagement over time.
Presentations
- Design and update recurring or informational PowerPoint presentations (e.g., member orientation, standard program decks and general informational presentations).
- Work within established templates to ensure consistent branding and messaging.
Content Coordination
- Source, edit and organize content, visual assets (images and videos) and information needed for newsletters, social media, events and marketing campaigns.
- Communicate with advertisers to collect materials by deadlines and provide post-campaign performance reports.
- Research emerging communication tools or channels that can enhance outreach effectiveness.
Metrics & Reporting
- Compile and analyze statistics on email engagement, advertising performance and digital reach.
- Provide regular summaries and recommendations to improve communication effectiveness.
- Maintain an organized library of content, assets and performance results.
Website & Digital Maintenance
- Update MMAC, MDC and M7 websites with current information such as events, staff listings and board rosters.
- Design and build new pages to support organizational goals, campaigns and key initiatives.
- Support accuracy and timeliness of digital content across all sites.
- Conduct routine quality checks for broken links, formatting issues and content errors.
- Maintain organized documentation of website changes and workflows.
- Assist with website enhancements, redesigns or migrations as projects arise.
Graphic Design Support
- Create and update basic marketing and promotional materials, including digital ads, flyers, social media graphics and one-page handouts.
- Apply MMAC brand standards across materials to ensure consistency in look and messaging.
- Support layout and visual updates for presentations, newsletters and reports.
- Collaborate with the Communications team to adapt existing designs for different platforms and audiences.
- Manage simple graphic edits and revisions in response to internal requests and timelines.
Social Media & Design
- Curate engaging social media content across multiple platforms (e.g. LinkedIn, Instagram, etc.).
- Develop content calendars that align with organizational goals, campaigns and key milestones.
- Write clear, compelling and on-brand copy tailored to different audiences and platforms.
- Support live or real-time posting during events, campaigns or announcements as needed.
- Draft or schedule posts on organizational social media channels.
Administrative Support
- Serve as a back-up for the Executive Assistant/Office Manager when needed.
- Provide administrative support across departments as needed.
The Ideal Candidate:
- Bachelor’s degree in marketing, communications or related field preferred; equivalent experience considered.
- 2 or more years of experience in marketing coordination, communications or administrative support preferred.
- Strong organizational and project management skills with attention to detail.
- Proficiency in Microsoft Office (especially PowerPoint and Excel) and WordPress.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Graphic design experience (Adobe Creative Suite, Canva) a plus.
