The HubSpot CRM Associate plays a key role in implementing the full functionality of the HubSpot CRM and maintaining the data integrity that supports the daily operations of Gonser Gerber LLP. This position receives guidance and mentoring from the Managing Consultant and Executive Director of the Gonser Gerber Institute and Search. Additionally, the Associate will cross-train with other support positions to promote professional development and ensure operational coverage as needed.
Responsibilities:
1. Ensure database health, integrity, and effectiveness
- Maintain an up-to-date and accurate database, including but not limited to:
- Make updates as new information becomes available
- Proactively research individuals as they move throughout their career
- Identify and merge duplicates
- Shepherd the process to add historical data not yet in HubSpot, i.e.: PDFs (contracts), Job history, References
- Proactively identify new ways to utilize HubSpot CRM, HubSpot Marketing Hub, and HubSpot SalesHub.
- Create policies and documentation to ensure the team is using correct language, naming conventions, and steps to keep the database clean.
- Manage the relationship with HubSpot support to learn about the latest updates and ask questions on behalf of the team as needed.
- Assist the team with transitioning away from third-party apps (like Constant Contact) to utilize the tools available in HubSpot.
- Assist the team with identifying additional HubSpot modules or add-ins (like Learning Management Systems or Bookkeeping) so that our team can benefit from the HubSpot ecosystem.
- Create dashboards and other reports to monitor activity.
- Leverage HubSpot CRM dashboards, custom reports, and contact insights to proactively assist consultants and the partnership.
- Onboard and train staff on HubSpot and other shared software solutions.
2. Support firm marketing and relationship management with clients and prospective clients
- Ensure accurate list creation and coding for the Gonser Gerber Annual Conference attendance, distribution of the Estate Planning Newsletter, Bulletin on Advancement, holiday cards, and other special lists.
- Create new client accounts in HubSpot and ensure assignment of appropriate communications.
- Build and maintain static and active lists for segmentation and outreach related to our service offerings and target audiences.
- Facilitate the mail/email distribution of welcome letters to new non-profit Presidents/CEOs/School Heads.
- Coordinate the distribution of the firm’s newsletter, Bulletin On Advancement.
- Facilitate the distribution of the firm’s Estate Planning Newsletter.
- Recommend other potential outreach and marketing activities based on data and/or developing trends.
- Support local and virtual special events, like the Gonser Gerber Annual Conference, workshops, and webinars, with marketing and registration assistance.
3. Support consultants in their work to secure and serve clients. Tasks will include, but are not limited to:
- Facilitate, as needed, the completion of consulting services proposals and contracts.
- Keeping the client reference list current, assisting with matching references with potential clients, and ensuring information is up to date and references are not utilized too frequently.
4. Perform other duties as assigned
Required Skills & Characteristics
o Bachelor’s degree preferred
o 3+ years’ experience with a CRM
o Proficient with Microsoft 365 suite (Word, Excel, PowerPoint, Teams, OneDrive) and cloud file management
o Strong attention to detail including proofreading and formatting
o Organized, proactive, and strategic thinker with excellent time‑management skills.
o Self-starter who thrives in an autonomous environment, demonstrating the ability to prioritize complex tasks and manage their own schedule effectively
Preferred Skills
o Experience with HubSpot CRM, Marketing Hub, and Sales Hub
o 5+ years’ experience in an office environment
Position Details
o Schedule: In-office 9 am – 5 pm position. Some flexibility needed for earlier or later start times as needed to support the office.
