NAMI Greater Indianapolis is a grassroots organization committed to improving the lives of individuals and families impacted by mental illness through education, support, and advocacy. Affiliated with NAMI Indiana and NAMI National, the organization has been serving the community since 1985 and became a registered 501(c)(3) nonprofit in 1999. Through its efforts, NAMI Greater Indianapolis helps foster awareness and access to mental health resources by engaging with the community and advocating for change.
Role Description
The Part-Time Administrative Assistant provides key operational and administrative support to the Chapter Administrator and helps support the daily functions of NAMI Greater Indianapolis. This role assists with communications, scheduling, social media, program coordination, and general office tasks that help the organization operate efficiently and stay connected with the community. The position is well suited for someone who is organized, dependable, comfortable with technology, and motivated to contribute to a mission-driven nonprofit focused on improving mental health support, education, and advocacy in Central Indiana.
Key Responsibilities
Administrative & Executive Support
- Serve as an administrative assistant to the Chapter Administrator, providing operational and logistical support.
- Manage general inboxes, respond to inquiries, and route messages appropriately.
- Maintain calendars, coordinate meetings, and assist with scheduling for staff, volunteers, and programs.
- Assist with data entry, filing, and maintaining organized digital records.
- Support event coordination, including registration tracking, materials preparation, and follow-up communication.
- Complete additional administrative or operational tasks as assigned by the Chapter Administrator.
Communication, Marketing & Social Media
- Draft professional emails, announcements, flyers, and routine correspondence to support organizational communications.
- Assist with social media management across platforms such as Facebook, Instagram, Tik Tok and LinkedIn, including scheduling posts, monitoring messages and comments, and maintaining an active online presence.
- Help plan and support social media campaigns related to mental health awareness, program launches, and community events.
- Support marketing and outreach efforts related to programs, events, and fundraising initiatives.
- Assist with newsletter preparation and distribution through email marketing platforms.
- Ensure all written and public-facing materials align with NAMI’s mission, tone, and branding.
Technology & Systems
- Use and maintain various digital tools, including Google Workspace, Microsoft Office, CRM/database systems, Zoom, Canva, and email marketing platforms.
- Assist with maintaining online forms, event pages, and basic website updates (training provided if needed).
Program & Event Support
- Represent NAMI Greater Indianapolis at community events, health fairs, and outreach activities as needed.
- Assist with setting up tables, distributing materials, and engaging with attendees in a professional and welcoming manner.
- Support volunteers and program facilitators with communication and logistics.
- Track attendance and assist with program reporting.
- Help maintain resource lists, support group schedules, and community partner information.
Qualifications
- Strong administrative and organizational skills with excellent attention to detail.
- Exceptional written and verbal communication abilities.
- Tech-savvy and comfortable learning new digital tools quickly.
- Experience with Google Workspace (Docs, Sheets, Drive) required; experience with Canva, CRM databases, or email marketing tools is a plus.
- Ability to work independently while also supporting leadership priorities.
- Flexibility and willingness to take on a variety of tasks in a small nonprofit setting.
- Commitment to NAMI’s mission and values.
- Prior nonprofit or mental health–related experience is a bonus but not required.
Schedule & Work Environment
- Approximately 20 hours per week with flexible scheduling.
- May include occasional evening or weekend hours for community events.
- Hybrid position: combination of remote work and in-person
- Reports directly to the Chapter Administrator.
