The job of Benefits Coordinator is done for the purpose/s of administration of the employee benefit program for contracted, non-contracted and retirees; monitoring costs of benefits; auditing transactions with providers; serving on and making recommendations to District Benefits Committee; monitoring state and federal regulations applicable to employee benefits to ensure compliance; and serving as the employer representative in addressing questions, concerns, and issues related to employee benefits.
Essential Functions
- Administers employee benefit program compliance with carrier contracts (e.g. overseeing enrollment of new employees, explaining benefit options, overseeing benefit fairs, mediating benefit eligibility and payment issues, collaborating with insurance agencies in resolving claim disputes and policy implementation, etc.) for the purpose of providing maximum coverage to employees within contract specifications and in accordance with established regulatory practices.
- Assists covered employees, beneficiaries and/or insurance providers for the purpose of verifying eligibility, conveying information and processing claims.
- Assists in monitoring employees performance (e.g. hiring, training, evaluating, etc.) for the purpose of ensuring effective operation of the department.
- Conducts regular and followup presentations for all employees regarding privacy laws and record keeping requirements for the purpose of disseminating information concerning benefits, retirement and flexible spending and addressing raised concerns regarding benefits.
- Counsels employees regarding benefit issues and options (e.g. retirement planning, changes in coverage, death benefits, HSA plans, flexible spending plans, STD, LTD, FMLA, military leave, etc.) for the purpose of allowing employees to consider all available information in their decision-making.
- Develops program administrative procedures and recommendations for the purpose of documenting and/or developing specific practices required to provide the designated benefits efficiently, cost effectively and in compliance with established policy criteria.
- Directs assigned employees for the purpose of overseeing the workload, ensuring accuracy of decisions and work products, and maximizing efficiency and productivity in the provision of services under the benefit program.
- Manages annual enrollment including planning and conducting open enrollment and informational meetings for the purpose of ensuring employees understand the options available and opportunities to participate in the benefit plans.
- Oversees development of various communication pieces (e.g. Insurance Newsletter, announcements, etc.) for the purpose of providing information and guidance to employees and retirees regarding benefit changes and procedures.
- Oversees a wide variety of benefit information (e.g. provider contracts, employee records, Affordable Care Act Reporting, etc.) for the purpose of ensuring the availability of information as needed.
- Participates in meetings, workshops and seminars for the purpose of conveying and/or gathering information required to perform functions.
- Prepares a variety of written and electronic documents (e.g. reports, memos, letters, agenda, recommendations, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
- Provides training to human resources department personnel and other administrative staff regarding privacy laws and record keeping requirements for the purpose of complying with established state and federal regulations.
- Provides technical assistance to school site and district administrators regarding application of leave policies for the purpose of ensuring the fair and equitable application of policies and/or developing strategies to address potential abuses of leave policies.
- Researches benefit policies and practices for the purpose of ensuring the accurate development of benefit options, the equitable application of benefit practices, and identifying potential cost saving strategies.
- Resolves conflicts with insurance providers for the purpose of verifying eligibility, conveying information and processing claims.
Requirements
- Education: Minimum associates degree or two years of work related experience.
