Position Overview
The Director of Operations serves as the operational backbone of Camaraderie Foundation.
Reporting directly to the CEO, this role ensures the organization’s internal systems, financial coordination processes, compliance requirements, data infrastructure, and administrative operations run smoothly and reliably.
The Director of Operations enables the CEO to focus on fundraising, partnerships, and strategic growth by ensuring that the organization’s internal operations are organized, disciplined, and dependable.
This role is ideal for a highly organized, systems-oriented leader who enjoys building structure, maintaining operational clarity, and supporting mission-driven work behind the scenes.
Key Responsibilities
Organizational Operations & Infrastructure
· Manage operational workflows, documentation systems, and vendor coordination supporting daily operations.
· Maintain and improve internal processes that support efficiency and organizational consistency.
· Develop and maintain Standard Operating Procedures (SOPs) across key operational areas.
· Maintain organized documentation supporting operational continuity and staff onboarding.
Financial Coordination & Budget Tracking
· Maintain program-level budget tracking across major organizational initiatives.
· Track budget vs. actual expenses and identify variances for leadership review.
· Coordinate with the organization’s bookkeeper to reconcile internal financial tracking with accounting reports.
· Track restricted and unrestricted funding allocations across programs.
· Monitor vendor contracts, payment schedules, and recurring financial obligations.
· Prepare financial summaries and supporting materials for leadership and board review.
Grant Administration Infrastructure
· Maintain the organization’s centralized grant tracking system including:
o funder information
o proposal deadlines
o submission status
o award amounts
o reporting requirements
o grant restrictions
o payment schedules
· Maintain organized digital grant files including agreements, budgets, reports, and correspondence.
· Track grant reporting deadlines and coordinate required documentation.
Compliance & Organizational Documentation
· Maintain a master compliance calendar tracking regulatory and organizational obligations including:
o nonprofit filings
o fundraising registrations
o insurance renewals
o vendor contract renewals
o grant reporting deadlines
o tax documentation
o software renewals
· Ensure all required filings and documentation are completed on schedule.
· Maintain records confirming regulatory compliance.
CRM, Data & Organizational Reporting
· Maintain CRM data integrity and system organization.
· Generate reports and data summaries for leadership and board reporting.
· Track organizational metrics including:
o veterans served
o counseling hours delivered
o program participation
o volunteer hours
o outreach participation
o event attendance
· Prepare board-ready summaries and impact reporting data.
Program Operations Support
· Maintain operational systems supporting programs such as the Mentor Leadership Program (MLP) and other initiatives.
· Track participant records, program demographics, and program participation metrics.
· Maintain program budgets and ensure expenses align with available funding.
· Prepare program summaries for leadership and grant reporting.
Volunteer Systems & Engagement Tracking
· Maintain volunteer records, onboarding documentation, and role descriptions.
· Track volunteer recruitment, placement, and participation across programs and events.
· Maintain volunteer waiver documentation and volunteer hours tracking.
· Prepare annual volunteer engagement summaries.
Community Outreach Coordination
· Maintain a calendar of community outreach opportunities including:
o conferences
o resource fairs
o military community events
o partner activities
· Coordinate volunteers and contracted individuals representing the organization at outreach activities.
· Track outreach participation and maintain documentation for impact reporting.
Communications Operations
· Maintain the organization’s newsletter distribution calendar.
· Coordinate content collection from staff and leadership.
· Prepare newsletters using approved templates.
· Maintain CRM mailing lists and communications tracking.
· Monitor engagement metrics including open rates and click-through rates.
Technology & Systems Oversight
· Maintain a system access matrix by staff role.
· Track software platforms, licenses, and vendor relationships.
· Maintain documentation for technology vendors and service agreements.
· Coordinate website updates and system support with external vendors when needed.
· Confirm IT backup schedules and cybersecurity review processes.
Board & Governance Operations
· Maintain board records, contact information, and committee assignments.
· Track board attendance and give/get commitments.
· Coordinate board meeting logistics and preparation of materials.
· Maintain board meeting minutes and governance documentation.
· Track board committee participation and engagement.
Qualifications
Required
· 5–7 years of experience in nonprofit operations, administration, or organizational management
· Strong financial literacy and experience tracking budgets
· Experience managing databases, CRM systems, or operational reporting systems
· Strong organizational and project management skills
· Exceptional attention to detail and operational discipline
· Ability to manage multiple systems, deadlines, and priorities simultaneously
Preferred
· Experience supporting nonprofit boards and governance
· Experience coordinating grant administration or compliance reporting
· Familiarity with platforms such as Bloomerang, QuickBooks, or similar CRM/accounting systems
· Experience supporting mission-driven organizations
Compensation range: $75K - $90K
