WHO ARE WE LOOKING FOR?
The ‘Quin Marketing Events Coordinator is a highly visible, cross-functional role supporting both brand marketing and programming event execution—two of the most distinctive aspects of the member experience.
Reporting to the Senior Brand Marketing Manager, this role is responsible for mastering the visual aesthetic and copywriting for digital communication and printed collateral. This position will manage member-facing (private) content spanning Private Events, Food & Beverage, ‘Quin Impact Fund (philanthropy), Health Club and Guest Rooms, however, largely supports promotion and recap of Programming Events – one of the most distinct aspects of club membership. Channels include but are not limited to: Member Portal/App, Newsletter, Emails, Menus, Signage.
The Marketing Event Coordinator will also support the Programming Event Production Manager who leads all aspects of club-wide Programming event execution and post-event coordination. Operating together with this manager to ensure the guest experience, the Coordinator is responsible for managing content capture through professional videographer/photographers including but not limited to: pre-event interviews, long-form filming, live-stream, coordination of virtual viewing, b-roll video, photography.
The coordinator will eventually be responsible for independent on-site management of recurring event genres including but not limited to: Book Club, Comedy, Art Tours, Board Game Nights, Trivia, Offsite Events, and Kid’s Events.
Primary Responsibilites & Essential Job Functions
Marketing & Content Development
- Write, edit, and produce member-facing content including newsletters, emails, website copy, and event signage
- Ensure all materials reflect The ‘Quin’s brand voice, tone, and elevated aesthetic standards
- Proof all print and digital materials for accuracy, grammar, tone, and layout prior to final approval by the Senior Marketing Manager
- Conceptualize and design polished visual assets (digital and print) that support internal departments and programming initiatives
- Lead development of Programming “Happening” materials on the portal and weekly newsletter to drive awareness, engagement, and event participation as a benefit of their membership
- Coordinate and oversee content capture (photography, videography, livestream, interviews, b-roll) ensuring brand-level quality
- Maintain and organize marketing resources including templates, style guides, and asset libraries of images and graphics to be shared as needed and quickly surfaced for application on marketing materials.
- Manage workflows with third-party partners including photographers, videographers, print vendors, and merchandise suppliers ensuring all parties deliver to project scope following the predetermined timeline.
- Work closely with the Senior Brand Marketing Manager to build and update a content hub for Programming videos which extends accessibility to the balance of membership
Event Production & Execution
- Support the Programming Event Production Manager in the execution of club-wide programming events
- Lead on-site execution of select recurring events (e.g., Book Club, Comedy, Art Tours, Trivia, Kids Events, Offsite Programming), acting as a host and Programming representation to ensure a polished and welcoming member experience. The Coordinator is responsible for having a strong grasp of the pre-planned expectations for the events that they are overseeing
- Ensure all staff and partners understand the event objectives and execution plan
- Prepare and adjust event spaces to meet brand and service standards prior to guest arrival
- Manage event flow and timing, including taking attendance when needed, cues for Q&A, transitions, and audience engagement elements
- Ensures workflow from concept to production is efficient, well communicated and offers solution-oriented creative approaches.
- Attend BEO and internal planning meetings with the Programming Event Production Manager to support event readiness
- Coordinate pre-event planning and post-event follow-up with vendors and internal teams
Administrative & Team Support
- Conceptualize, produce, and lay out elevated, sophisticated and informative graphics, visuals and copy that support the business goals of various internal departments for public and member-facing communications.
- Distinguish key data capabilities across existing digital platforms and leverage key metrics to aid in the development of channel usage reports which will further drive the goals and strategy of marketing programs
- Communicate and uphold The ‘Quin’s privacy standards and permissions with all third-party partners
- Attend daily/weekly meetings as a department representative, sharing relevant marketing and programming updates
- Support a collaborative, solutions-oriented team environment across department

- This full time role (40 hours/week) requires schedule flexibility, including regular early evenings and weekends to support event execution, vendor setup, and breakdown.
Qualifications
- 1–3 years of experience in marketing, events, hospitality, or a related field
- Strong writing and editing skills with attention to tone and detail
- Keen eye for design, layout, and brand presentation
- Ability to manage multiple projects simultaneously in a fast-paced environment
- Professional presence and strong interpersonal skills, especially in member-facing settings
- Willingness to work evenings and weekends as required for events
Preferred
- Experience in hospitality, events, or luxury environments
- Familiarity with design tools (Adobe Creative Suite, Canva, or similar)
- Experience working with creative vendors (photographers, videographers, etc.)
Position Requirements
Who We Are Looking For
- At least (2) years of experience in catering sales in a private club or related industry
- Demonstrated knowledge of event operations
- Service oriented style with professional presentations skills
- Dynamic, enthusiastic, creative team player who thrives under pressure and is able to perform multiple simultaneous functions and troubleshoot when needed
- A strong team player who supports their team and embraces ownership, accountability, and responsibility for the team’s work
- Must have proven selling, negotiating, and presentation skills
- Highly developed customer service skills with strong attention to detail
- Detail oriented, excellent prioritization, time management, organizational and follow up skills
- Demonstrated ability for process excellence and project management
- Good financial acumen
- Open availability and flexibility to work according to the needs of the business
- Comfortable with Microsoft Word, PowerPoint, Excel, and Outlook
- Command of the English language, both written and verbal, with the ability to demonstrate warmth and empathy when engaging with others.
- High School Diploma or equivalent
