Advent Talent Group is seeking a Recruiting & Outreach Specialist to join our team in Edina, Minnesota. Location: Edina, MN (Hybrid)
Pay Rate: $28.85 -31.25 per hour
Hours: Full-time
Type: 6-month contract with opportunity to hire
Responsibilities
Account & Business Development
- Support customer and prospect outreach through research, list building, and coordinated follow-up via phone, email, and other channels as directed.
- Make outbound calls and send outreach messages to support pipeline activity, appointment setting, and reactivation of past clients and prospects.
- Provide responsive support to clients and prospects by routing inquiries, tracking next steps, and ensuring timely follow-up.
Recruiting Coordination & Candidate Experience
- Assist with the management of job postings and job boards, including monitoring and following up on responses.
- Make initial contact with applicants, gather basic information, and support next-step coordination.
- Conduct candidate outreach using job boards, referrals, social media, and other sourcing resources; share qualified responses with the recruiting team.
- Coordinate interview scheduling and logistics, including confirming availability, sending calendar invites and virtual meeting links, and communicating updates.
- Support candidate care by providing timely communication, answering basic questions, and routing escalations to the appropriate team member.
- Maintain accurate status updates and documentation in the ATS to support a high-quality candidate experience.
Administrative & Marketing Support
- Identify and support workflow improvements within the CRM/ATS; help maintain accurate records and resolve discrepancies to ensure data integrity.
- Provide administrative and tech support, including main phone line coverage, calendar management, virtual meeting scheduling, reporting and information cleanup, shipping and packaging, and other miscellaneous tasks as needed.
- Support marketing and sales operations including lead generation, data maintenance in the CRM/ATS, basic graphics in Canva, and assistance with events, website maintenance, social media, and newsletter functions.
Qualifications
Required
- 3+ years of experience in staffing/recruiting, sourcing, sales support, customer support, or administrative support in a fast-paced environment.
- Comfortable with outbound outreach and follow-up (phone and email) and working toward activity-based goals.
- Strong written and verbal communication skills; ability to communicate clearly and positively with candidates, clients, and internal team members.
- High attention to detail and strong organizational and time-management skills; adaptable to shifting priorities and deadlines.
- Proficiency with Windows-based systems, Microsoft Office, and ATS/CRM database management (prior CRM/ATS experience preferred).
- Self-motivated, proactive, service-oriented, and professional; strong problem-solving and relationship-building abilities.
- Demonstrated ability to work effectively with people of diverse backgrounds, identities, and experiences; a culturally aware and inclusive communication style.
Preferred
- Experience with online sourcing platforms and tools (including social media) and job boards; ability to assess sourcing ROI.
- Sales or customer service experience alongside recruiting or HR support responsibilities.
- Experience working with or in support of diverse communities, nonprofits, or mission-driven organizations.
