ASSISTANT EXECUTIVE DIRECTOR – AIA SAN MATEO COUNTY CHAPTER
The San Mateo County Chapter of the American Institute of Architects (AIA) is a
501(c)(6) non-profit professional organization seeking a part-time Assistant
Executive Director. This is a versatile position wearing many hats and has the
potential for long term growth and leadership within our organization.
WORK LOCATION & SETUP
This is primarily a remote position, with responsibilities that include supporting
in-person event planning, hosting, and related on-site preparation. A flexible,
cloud-based work environment is supported. The chapter will provide all
necessary software required for the role. This position requires use of the
contractor’s own computer.
ROLE AND RESPONSIBILITIES
Specific responsibilities may include but are not limited to:
● Communications: Manages and maintains the AIASMC chapter’s website and
social media accounts daily; shares news, events, other chapters, state and
national AIA’s updates as needed via email, newsletter, social media (LinkedIn,
Facebook, and Instagram) and the website. Curates weekly newsletter with the
Executive Director and board members.
● AIA San Mateo County’s AIA Continuing Education programming:
Promote events through newsletters, website, and social media.
● Programs and Events: Work with the Programming Committee and event
chairs to support planning, promotion, and execution of chapter events.
Responsibilities may include website updates, newsletter and social media
outreach, tracking registrations, collecting fees, coordinating venues and
catering, and assisting with speaker technical needs. Support for virtual events
(e.g., Zoom) may also be required. In-person events require local travel and
on-site support as needed. Responsibilities will vary depending on each event
and the evolving needs of the chapter.
● Membership: Reach out to new AIA SMC members on a quarterly basis or as
needed to support engagement and awareness of upcoming chapter events and
resources.
● Member engagement: Member engagement may include supporting outreach
and communication efforts to keep members informed and connected. This may
involve assisting with updates, event promotion, and follow-up communications.
The approach will remain flexible and evolve based on the needs of the Chapter
and its members.
PROFESSIONAL EXPERIENCE & QUALIFICATIONS
● Must reside in San Mateo County or the vicinity.
● Relevant bachelor's degree or higher education; comparable work
experience will be considered in lieu of a bachelor’s degree.
● Design and marketing background strongly preferred. Proficiency in WordPress,
LearnDash, Microsoft Office, Google Drive, Zoom, Canva, and familiarity with
Eventbrite, Mailchimp, QuickBooks, Instagram, Facebook, LinkedIn, and Adobe
Creative Suite is highly desirable. AI knowledge encouraged.
● Attention to details and graphic design. Excellent writing and
communication skills with a respectful and collaborative approach to
fostering relationships with members, industry professionals, community
leaders, and board members.
● Basic understanding of the AIA, architectural, design, and construction
professions and the role of architects in the public realm.
● Administrative operations experience and board relations.

COMPENSATION
The part-time position anticipates an average of 6-8 hours of work per week (at most
32 hours per month), primarily during business hours, with some evening/weekend
hours for meetings, events (virtual and in-person), and conferences. Local travel is
required to support chapter events.
The hourly rate of pay will be $28 to $32 per hour; the specific amount will be based
on the candidate’s experience.
