Role Description
The client service and administration associate is responsible for the daily processes of the office located in Nashville, TN (Wedgewood-Houston neighborhood). This includes client relationship management, scheduling, and tasks requested by Finwell staff, administrative, professional assisting and some personal assisting. Must be familiar with and confident in Microsoft Excel, Powerpoint and using new software. Positive can-do attitude is a must. Ability to work alone or within a team environment. Willing and able to study and take & pass series 65 securities test after 90 days of contract employment. Ability to pay attention to details, do math, and remember key dates and deadlines. Effective communication, verbally and in writing. Ability to communicate about sensitive topics, get feedback and grow as a professional. Desire to consistently learn about the industry through hands-on experience, educational webinars, reading and industry events. This role can develop into a client advisor and/or client planner over time.
Dress-code is business casual or athleisure + blazer, occasionally business professional as needed
Tasks & Responsibilities
First 90 days- Contractor
- Check mail
- Check with advisors to see if meetings need to be moved
- Email clients to confirm meetings for the day
- Check Financial Plan status for completed data gathering, email the client with calendar link, clear completed tasks, and email clients to follow up when needed
- Update Wealth Management client list as need and proactively reach out to get meetings scheduled
- Pull birthdates from CRM monthly, have advisors sign birthday cards and mail them out 7-10 days before their birthday.
- For Private clients, special gifts to be sent
- Gather a list of items needed for the office from advisors, place orders etc.
- Keep advisors on track to meet continuing education requirements
- Maintain contact schedule with Private Wealth Clients, Affluent Clients and financial planning clients
Next 6 Months- Employee $20/hour
- Pull reports from custodians
- Upload new client information into systems: CRM, wealth management, panda doc, and mailchimp ++ others as needed. Maintain client information
- Make copies of documents, upload and process
- Review client profiles and check for proper documents: IPS, Advisory Agreements, Engagement Letters; Other. Add notes as reviews are completed
- Check advisor emails, delete emails, reply to emails and remind advisors of pressing emails/action items/tasks and projects
- Send monthly newsletters, created by the Finwell team
- Help with new account opening using data gathering and technology to get client information and signatures. Upload documents to client CRM and portal
- Conference calls with clients & Schwab to resolve client account issues
- Open to new tasks as the business needs
Occasionally
- Run errands: drop off mail, pick up items (FedEx, USPS), Trader Joes, move items from home to office and vice versa
- Drop off or pick up from the airport
- Event planning for client events
- Travel to client presentations
- Create client newsletter drafts
- Participate in Finwell team building activities that may include: being active (hikes, walks, bike rides, runs), attending events (music industry events, happy hours, team activities, client events), charitable causes.
- Open to new tasks as the business needs
After Licensing, with a Promotion if desired:
- Manage a client book of business helping them identify, prioritize and plan for their financial goals- an Associate Wealth Advisor
Qualifications
- Analytical, finance, and communication skills
- Ability to provide excellent client services
- Experience in sales and relationship management
- Ability to understand and explain financial planning and investment strategies
- Strong written and verbal communication skills
- Excellent organizational, time, and project management skills
- Series 65 securities licenses are desired upon hiring and required after 90 days of service
- Bachelor's degree in business, finance, economics, or related field is desired but not required
- Two years or more experience with customer service and personal finance are required
Contractor Period 90 days
20 hours/ week at $15/hour as a contractor.
