Role Overview
The Commercial Operations & Marketing Manager is a hands-on manager-level role responsible for helping Waypost build a more systematic, consistent, and effective sales and marketing engine. This person owns the operating details behind business development, marketing execution, HubSpot, LinkedIn activity, newsletters, account-based marketing, digital marketing, outreach coordination, prospect research, meeting preparation, and follow-up discipline.
This role combines execution with strategic contribution. The Manager is expected to handle the hands-on sales and marketing operations work while also helping improve Waypost's marketing approach, campaign planning, messaging, account-based marketing structure, LinkedIn presence, content calendar, website updates, digital marketing execution, and practical use of AI-enabled tools.
The person does not need to be a supply chain expert. Final supply chain positioning, technical points of view, sales diagnosis, and closing responsibility remain with Waypost leadership and subject matter experts. However, the Manager should be able to translate leadership input into organized campaigns, market-facing content, outreach sequences, newsletters, LinkedIn activity, website updates, and repeatable processes. Over time, this role may own defined portions of Waypost's marketing plan if the individual demonstrates the capability, judgment, and business understanding to do so.
This role works closely with the CEO and leadership team.
Key Responsibilities
1. Commercial Operations & HubSpot Ownership
• Own day-to-day HubSpot data quality, contact management, deal tracking, tasks, lists, segmentation, and reporting support.
• Maintain clean, accurate records for prospects, clients, referral partners, COIs, and opportunities.
• Track follow-up tasks, next steps, meeting outcomes, campaign activity, and pipeline stage progression.
• Prepare recurring pipeline, outreach, referral, and campaign activity reports for leadership.
• Identify stale opportunities, missing follow-ups, incomplete records, duplicate records, and process gaps.
• Recommend improvements to HubSpot structure, workflows, dashboards, lists, reporting, and data hygiene.
2. Marketing Strategy Contribution & Campaign Planning
• Contribute to Waypost's marketing strategy by helping organize campaign priorities, content themes, buyer segments, outreach cadences, newsletter topics, LinkedIn plans, website updates, digital marketing activity, and account-based marketing initiatives.
• Bring practical recommendations to leadership on messaging, target audiences, campaign structure, content repurposing, digital channels, and ways to improve engagement with Waypost's ideal client profile.
• Translate business development priorities into a manageable marketing calendar, content plan, outreach plan, digital marketing plan, and campaign execution rhythm.
• Review campaign activity and practical performance signals to identify what appears to be working, what is not working, and where Waypost should adjust messaging, cadence, targeting, or channel activity.
• Use AI tools appropriately to support drafting, summarization, research, content repurposing, workflow documentation, idea generation, and process improvement.
3. LinkedIn Marketing & Executive Visibility
• Coordinate, schedule, and post approved LinkedIn content for Waypost and designated firm leaders.
• Maintain a LinkedIn content calendar aligned with service themes, target buyer pain points, events, campaigns, account-based marketing efforts, and business development priorities.
• Repurpose input from leadership, presentations, meeting notes, client themes, service offerings, and market observations into draft LinkedIn posts and short-form content.
• Support executive visibility on LinkedIn by coordinating drafts, approvals, scheduling, posting, engagement monitoring, and follow-up activity.
• Monitor LinkedIn engagement and recommend improvements to topics, formats, cadence, and calls to action.
4. Account-Based Marketing & Target Account Development
• Support and help build Waypost's account-based marketing approach by organizing target account lists tied to Waypost's ideal client profile.
• Research target companies, decision-makers, ownership structures, operating context, business triggers, and relationship paths.
• Identify and organize COOs, VPs of Supply Chain, operations leaders, private equity contacts, board members, referral sources, and other ICP contacts.
• Segment accounts by buyer type, industry, ownership, geography, likely pain points, relationship source, and campaign theme.
• Coordinate ABM campaign execution across HubSpot, LinkedIn, email, newsletters, website content, and follow-up workflows.
• Track account-level activity, engagement, responses, meetings, follow-ups, and next steps in HubSpot.
5. Outreach, Newsletter & Digital Marketing Operations
• Coordinate approved outreach through email, LinkedIn, newsletters, and other appropriate channels.
• Build and maintain outreach lists using HubSpot, LinkedIn Sales Navigator, Apollo.io, company websites, and other research tools.
• Set up, schedule, and monitor approved newsletters, email updates, campaign sends, and nurture communications.
• Draft and refine outreach copy, subject lines, newsletter blurbs, follow-up language, and campaign copy based on direction from Waypost leadership.
• Support digital marketing execution, including minor website updates, posting approved content to the website, updating service pages or landing pages, and coordinating basic website content changes.
• Track responses, follow-up needs, campaign status, website-related requests, and meeting outcomes in HubSpot.
• Ensure warm leads, referrals, prospect responses, and client-growth opportunities are surfaced quickly to the appropriate Waypost leader.
6. Messaging, Content & Sales Enablement Support
• Contribute to messaging ideas, campaign themes, outreach angles, and content topics based on Waypost's target buyers and service offerings.
• Translate leadership's raw ideas into structured campaigns, outreach sequences, LinkedIn posts, newsletters, website copy updates, follow-up workflows, and sales enablement materials.
• Create or coordinate drafts for short-form content, newsletter copy, email campaigns, prospecting messages, event follow-up, service summaries, case examples, and referral partner communications.
• Maintain organized libraries of marketing content, sales materials, proposal language, LinkedIn drafts, newsletter content, website copy, case examples, and reusable messaging assets.
• Ensure market-facing content is professional, consistent, and aligned with approved Waypost positioning and subject matter expert input.
7. Proposal, SOW & Sales Material Coordination
• Support proposal and SOW coordination by managing templates, version control, formatting, attachments, and document organization.
• Coordinate inputs from the CEO, Managing Director, Director of Client Solutions, and Advisors.
• Help prepare sales materials, capability summaries, service overviews, case examples, meeting follow-up materials, and content that supports ABM or referral campaigns.
• Ensure sales and proposal materials are polished, accurate, organized, and delivered on time.
• Support DocuSign or signature routing processes as needed.
Qualifications
Required
• 5+ years of experience in B2B marketing operations, commercial operations, sales operations, growth marketing, business development support, or a related role.
• Hands-on experience with CRM systems; HubSpot experience strongly preferred.
• Experience supporting LinkedIn posting, email marketing, newsletters, outreach campaigns, content calendars, campaign operations, account-based marketing, or digital marketing activity.
• Strong writing, editing, proofreading, and message-polishing skills.
• Ability to contribute ideas and recommendations on marketing strategy, campaign planning, messaging, LinkedIn execution, ABM structure, website content, content cadence, and sales/marketing process improvement.
• Strong organization, follow-through, and attention to detail across prospects, campaigns, meetings, and internal stakeholders.
• Comfortable researching companies, contacts, industries, executives, and business context.
• Ability to manage hands-on commercial execution details while also thinking critically about how to improve the broader growth system.
• Comfortable using AI tools for practical productivity use cases such as drafting, summarization, research, workflow documentation, and content repurposing.
• Strong proficiency with Microsoft 365, including Outlook, Word, PowerPoint, Excel, Teams, and SharePoint/OneDrive.
• Ability to work independently in a small, entrepreneurial professional services firm.
• Professional judgment and discretion when handling client, prospect, and internal business information.
Preferred
• Experience with LinkedIn Sales Navigator, Apollo.io, HubSpot sequences, HubSpot lists, HubSpot reporting, or similar sales/marketing tools.
• Experience using AI tools to improve content operations, marketing workflows, research, or internal process efficiency.
