About the role
The People Experience Project Specialist serves as a key coordination and execution partner within the Office of People Experience Design, helping bring structure, organization, and visibility to Human Resources initiatives and operations. Reporting to the Director, People Experience, this role supports project coordination, department communications, planning activities, and operational processes to help ensure priorities stay organized, aligned, and moving forward.
This role supports a variety of department needs, including maintaining project trackers and planning tools, developing executive-ready presentations and updates, coordinating communications, and assisting with budget and operational administration. The ideal candidate is highly organized, adaptable, and comfortable managing multiple priorities in a fast-paced environment. You combine strong follow-through and operational discipline with sound judgment, professionalism, and strong communication skills.
This is a hybrid remote role, offering a flexible work arrangement out of our Vienna, VA office with an in-office requirement of two days per week.
You Will
- Partner with the Director, People Experience to support department priorities, executive requests, and cross-functional initiatives requiring coordination, communication, and execution support.
- Provide flexible support across People Experience initiatives and emerging department needs as priorities evolve.
- Maintain HR project trackers, activity calendars, and planning tools to support visibility into priorities, timelines, milestones, and dependencies.
- Develop presentations, project updates, executive briefings, and supporting materials that communicate priorities, progress, and recommendations clearly and effectively.
- Maintain and coordinate the integrated HR messaging calendar to support alignment across department communications and organizational initiatives.
- Support creation and distribution of recurring department communications, including the monthly People Experience newsletter and other organizational updates.
- Maintain and update HR MyEyeShare pages and microsites to ensure information remains current, organized, and easy to navigate.
- Manage the HR operating budget, including tracking expenses, maintaining vendor and contract information, coordinating invoices, and partnering with Finance on reporting and reconciliation activities.
- Provide coordination and reporting support for employer reputation monitoring activities across platforms such as Glassdoor and Indeed.
- Uphold strict confidentiality with sensitive information, financial records, personnel matters, and executive communications.
About You
- Bachelor’s degree in Communications, Marketing, Business Administration, Human Resources, Public Relations, or a related field; equivalent experience considered.
- 3+ years of experience in project coordination, communications, operations, HR support, internal communications, marketing, or related work.
- Strong written, verbal, and visual communication skills, with the ability to create polished presentations, summaries, and communications that simplify complex information.
- Experience developing executive-ready PowerPoint presentations, newsletters, templates, and other communication materials.
- Strong organizational and project coordination skills, with the ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
- Ability to adapt quickly to shifting priorities and support evolving department needs with professionalism and sound judgment.
- Strong attention to detail, follow-through, and discretion when handling sensitive or confidential information.
- Proficiency in Microsoft PowerPoint, Excel, Outlook, and Teams; experience with Canva, SharePoint, LinkedIn, or project tracking tools preferred.
- Collaborative, service-oriented mindset with a willingness to support the team and contribute where needed.
- Resourceful, proactive, and solution-oriented approach with the ability to work independently and maintain momentum across multiple initiatives.
