Reporting to the Associate Director of the Parenting Center, the Coordinator will manage a broad range of administrative and program coordination responsibilities in support of the Parenting Center’s daily operations and both in-person and virtual programming. In collaboration with the Executive Director and Associate Director, the Parenting Center Coordinator will liaise with current and potential Parenting Center patrons, support teachers, faculty members and 92NY departments in relation to all aspects of the Parenting Center program.
Customer Service Responsibilities
- Communicate in a professional, warm and patient manner with patrons to assist in answering questions or issues in person or via phone or email.
- Keep current and potential families up to date on programs and activities, in conjunction with the Customer Care department, including a consistent newsletter and other important announcements for current families.
- Attend Parenting Center programs to welcome guests and provide support to program leader before and after classes and events.
- Support leaders/teachers with classroom supplies, ensuring that all necessary materials and equipment are in place for classes, open houses and parent meetings.
- Prepare and submit room set up requests and coordinate with the facilities department to ensure that rooms are properly set up, in a timely manner, with all the required furniture, equipment and materials.
- Coordinate virtual programming ensuring that instructors and patrons can attend.
Technical/Digital Responsibilities
- Draft and maintain program contracts with responsibilities for DocuSign.
- Draft and maintain contracts and letters of agreement for all instructors.
- Manage billing and associated paperwork for programs.
- Process invoices using Ramp, coordinate payroll with Parenting Center staff and Payroll Department.
- Produce reports and rosters using Tessitura and Traction Rec (Salesforce).
- Respond in a timely manner to patron emails and family requests for information or support relating to Parenting Center’s programs and activities, including program information, billing, refunds, etc.
- Assist in the program scheduling for all classes on a trimester basis.
- Assist in drafting and reviewing catalog and web content; responsible for managing program offerings from seasonal load through website upload, and submitting program and event updates to all relevant parties.
- May be assigned other tasks and duties reasonably related to their job responsibilities i.e. subbing in classes when needed.
- Bachelors degree
- Strong proficiency in Microsoft Word, Excel and Power Point. Experience using Salesforce preferred. Experience with Constant Contact, MailChimp or a similar platform is a plus.
- Previous experience working in an administrative capacity with keen attention to detail required.
- Strong written and verbal communication skills with an articulate and welcoming telephone manner.
- Ability to multitask, prioritize, and demonstrate excellent time management skills.
- Prior experience in planning, coordinating and executing events, programs or classes required.
- Pro-active self-starter, with the ability to work effectively both individually and in a team setting.
- Proficiency using social media platforms preferred.
- Experience and interest in early childhood education programming preferred.
40 hours per week with a typical schedule of Monday to Friday 830am to 530pm with a daily 1-hour unpaid meal break. Flexibility of hours may be required, with the occasional requirement to support evening or early programming.

Compensation Range
$50,000 - $60,000
The actual compensation offered will be based on a number of factors including, but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, and certifications or other professional licenses held.
