The Hawai'i Association of Independent Schools (HAIS) advocates for independent education in Hawai'i, working to enhance the quality and excellence of education for all students. Established in 1969, HAIS now serves 93 private and independent schools with over 34,000 students statewide. Member schools range from some of the nation’s largest independent institutions to smaller, mission-driven schools dedicated to personal and academic excellence. HAIS serves as the state affiliate for the National Association of Independent Schools and as the state liaison for the Western Association of Schools and Colleges. Governed by a volunteer board of directors, HAIS operates as a 501(c)(3) non-profit organization dedicated to strengthening its member schools.
Role Description
The Member Services and Engagement Manager serves as the primary liaison to HAIS member schools, fostering strong relationships, supporting member needs, and enhancing engagement across all programs and services. This position plays a central role in member communications, event coordination, digital resource management, and the ongoing development of initiatives that advance the mission of HAIS.
As part of a small, collaborative team, this individual works closely with the Executive Director, Director of Programs and Director of Licensing and Operations to ensure seamless operations, effective communications, and a positive experience for all member schools and partners.
Key Responsibilities
Member Services and Engagement
- Serve as the primary contact for member inquiries, onboarding, and support.
- Assist with membership updates, renewals and benefits.
- Oversee and maintain data management, collection and reporting, and member analytics. Support annual data collection and reporting processes, ensuring data integrity and timely submission.
- Coordinate networking opportunities, assigned affinity group meetings, and collaborative initiatives among member schools.
- Support member retention, including the development of value-driven membership communications.
Communications, Technology, and Data
- Manage and regularly update the HAIS website, calendar, listservs and associated databases, ensuring that information about member schools and HAIS initiatives, services, events and programs is accurate and current. Communicate needed updates to HAIS staff as they pertain to their area of oversight.
- Develop and distribute the bi-monthly HAIS e-newsletter.
- Deliver exceptional customer service by managing the HAIS information email account, responding to inquiries, and directing communications as necessary.
- Maintain HAIS’s social media presence and digital communications calendar, as necessary.
- Assist member schools in maximizing their use of HAIS digital platforms and resources.
- Support annual data collection processes and contribute to the coordination of data analysis and reporting.
- Coordinate the development and production of the HAIS Annual Report, including gathering content and data, managing timelines, collaborating with staff and stakeholders, and supporting final review and publication.
Member Event Support
- Oversee the annual Admissions Fairs.
- Handle event logistics, including venue coordination, catering, AV, and registration systems for HAIS member events (e.g. Annual Meeting).
- Coordinate HAIS event messaging, materials, and announcements as it pertains to Member events.
- Manage sponsors for dedicated member events (e.g. NAIS Reception)
Program Support
- Manage attendee registration processes, customer support and payments.
- Oversee attendee registration processes for the annual Schools of the Future (SOTF) Conference.
- Manage exhibitors and sponsors for SOTF and Leadership Summit.
Operational Support
- Collaborate on cross-functional projects and initiatives that support the strategic goals of HAIS.
- Participate actively in HAIS conferences, workshops, and member events.
- Support financial processes such as check deposits, invoicing coordination, and payment tracking.
- Perform other duties as assigned to meet the needs of a dynamic and collaborative organization.
Qualifications
- Bachelor’s degree from an accredited college or university.
- Experience in, or strong understanding of, independent school operations and standards.
- Proven ability to manage multiple projects with attention to detail and follow-through.
- Excellent written and verbal communication skills, with the ability to clearly convey complex information.
- Proficiency with Google Workspace, Microsoft Office Suite, and database management systems.
- Experience with website content management and communication tools (e.g., Constant Contact, etc.).
- Comfortable working with design tools such as Canva or equivalent platforms (a plus).
- Comfortable with generative AI platforms such as Claude and ChatGPT.
- Demonstrated ability to work both independently and collaboratively in a fast-paced, evolving environment.
- Experience in event management and/or program development, ideally in an educational or nonprofit setting.
- Strong problem-solving skills, initiative, and adaptability.

Work Environment:
This is a full-time position based in Honolulu, Hawai‘i, with hybrid work flexibility. Occasional evening or weekend hours may be required for conferences and events.
