Position Type: Part-Time/ 30 hours a week

Position Summary
The Events & Member Relations Director is responsible for coordinating Chamber events, supporting member engagement, managing communications, and providing administrative support. This role requires strong organizational skills, strong communication skills, attention to detail, and a passion for creating meaningful experiences that strengthen the Chamber and the business community.
Key ResponsibilitiesMember Communications & Database Management
· Create and distribute the weekly Monday Chamber Chatter newsletter through Constant Contact.
· Design and manage e-blast advertisements and promotional emails.
· Input and maintain Chamber Chatter advertising information and keep tracking spreadsheets updated.
· Enter and maintain Chamber events on the Chamber website calendar.
· Add new members and prospective members to Constant Contact and maintain accurate contact lists.
· Update member information and records as needed.
· Respond promptly and professionally to emails, phone calls, and member inquiries.
· Reach out to potential new members to join the Chamber.
Event Planning & Coordination
· Solicit sponsorships, donations, and participants for Chamber events and programs.
· Assist with planning and facilitating meetings and events.
· Prepare and distribute meeting agendas and notes to committees.
· Maintain event spreadsheets and tracking documents.
· Send event reminders to attendees one to two days before events.
· Send thank-you communications to sponsors, donors, and volunteers following events.
Luncheon Management
· Manage luncheon registrations, including prepaid lunches and staff attendance.
· Create informational handouts highlighting upcoming events and meetings for attendee packets.
· Assemble luncheon packets and materials.
· Send reminder emails to attendees one to two days before each luncheon.
· Prepare and print name tags.
· Develop and distribute the event “Run of Show” for staff and presenters.
Annual Event Scheduling
Coordinate and maintain annual schedules for:
· Coffee Connections
· Chamber Luncheons
· After Hours Networking Events
Ribbon Cuttings & Member Celebrations
· Coordinate ribbon-cutting events with Chamber members.
· Schedule and coordinate participation with the Mayor and photographer.
· Send event information and instructions to hosts.
· Create and distribute promotional e-blasts.
Monthly Meetings & Administrative Support
· Prepare monthly documents and reports for the Ambassador Program.
· Assist with general office administration, including answering phones and emails.
· Perform light housekeeping duties, including vacuuming and maintaining shared spaces.
· Perform other duties as assigned to support Chamber operations and strategic initiatives.
Qualifications
· Excellent written and verbal communication skills.
· Strong organizational and time management abilities with attention to detail.
· Ability to manage multiple projects and deadlines simultaneously.
· Proficiency with Microsoft Office, Excel, Word, and email marketing platforms such as Constant Contact.
· Experience in event planning, customer service, or membership organizations preferred.
· Ability to work independently and collaboratively in a small team environment.
· Professional, positive, and member-focused attitude.
Preferred Experience
· Experience with Chamber of Commerce, nonprofit, association, or event management environments.
· Familiarity with website content management systems and online event calendars.
· Experience creating marketing materials and communications.
· Proficiency in Canva and Adobe Creative Suite is preferred.
