POSITION SUMMARY:
The Development & Marketing Coordinator plays an important role by providing administrative support to the Director of Development and participating in fundraising activities including donor database management, marketing and communications, direct mail appeals, and special events. The Development & Marketing Coordinator reports to the Director of Development and collaborates with the fundraising team, senior and key staff, the Executive Director, board members, and external stakeholders, to foster Apna Ghar’s growth.
PRIMARY RESPONSIBILITIES:
Direct Mail and Annual Fund
- Manage, update, and prepare mailing lists using donor database
- Serve as an administrative contact and coordinator for the direct mail house/printer and outside consultants working on direct mail and annual fund
- As needed/directed, draft direct mail and annual fund appeals based on goals and strategies outlined by the Director of Development
- Ensure timely gift entry and acknowledgment into the database
Corporate Giving
- Research and identify prospective new corporate partners
- Collaborate with program, outreach, and volunteer staff to develop and implement corporate relationship plans
- Develop and distribute corporate giving packages/sponsorship opportunities in conjunction with the Director of Development
Reporting and Data Management
- Serve as the primary donor database manager, ensuring timely and accurate data entry
- Prepare reports on revenues, donor response rates, and progress to goal as needed
- Analyze giving trends and donor behavior with the Database Administrator to assist the Director of Development with fundraising strategy and revenue goals
Events and Volunteers
- Provides support for and facilitation of events including but not limited to maintaining guest lists, gathering and preparing registration materials, and creation of promotional materials
- Serves as the primary liaison for the Chicago Marathon
- Assist with organizing volunteer events
Communications
- Under the guidance of the Director of Development, plan and develop PR/marketing/communications materials
- Gather appropriate stories, photos, and data to create compelling communications
- As needed/directed, draft creative communications and PR collateral such as social media posts, email newsletter drafts, website, promotional materials, and more
- Track and analyze constituent and donor behavior and trends to understand effectiveness
General
- Handle inquiry calls, emails, and mail for the development team, responding or route them efficiently
- Assist with communication with community members and stakeholders
- Maintains current knowledge in the field of Development, including emerging trends
- Complete administrative tasks for the development department
- Other duties as assigned
QUALIFICATIONS:
Required
- A minimum of three years' experience in an administrative position, preferably in a not-for-profit development office
- Bachelor’s degree in a related field or equivalent experience
- Excellent written and oral communication, with the ability to present information with a high degree of professionalism across many communications channels
- Knowledge of digital marketing and communication methods
- Ability to organize and prioritize work independently with little supervision
- Excellent interpersonal skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google
- A self-starter, data and deadline driven, and ability to multi-task with solid organizational and time-management skills
Preferred
- Experience in grant writing and grant research
- Database management experience, Network for Good preferred
- Proficiency in or knowledge of graphics editing tools (Canva, Adobe Creative Suite)
Licenses/Certification:
- Domestic Violence Training is required within 6 months of employment. This can be obtained through Apna Ghar at no cost
WORK ENVIRONMENT:

- This position operates primarily in an office environment but work offsite is required for meetings, workshops, advocacy events etc.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines.
- While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
- The employee may occasionally lift and/or move objects up to 40 pounds
- Travel between the main office and other locations may be required.
- Occasional evening, night and weekend hours are required
