The Role
We’re looking for a self-directed, proactive Administrative Assistant to support the CEO and help keep the office running smoothly. This role blends traditional executive support with day-to-day office operations and is ideal for someone who is detail-oriented, organized, and thrives in a fast-paced, creative environment.
Some experience in the advertising, marketing, or media industry is preferred (knowing the difference between a client pitch and a production schedule will help you hit the ground running).
What You'll Do
Calendar & Meeting Management
- Manage and coordinate the CEO’s calendar, scheduling internal and external meetings, managing time zones, and resolving scheduling conflicts.
- Prepare meeting materials and agendas, and ensure rooms or virtual meetings are ready.
- Arrange catering or lunches for key meetings and maintain a professional, polished setup.
- Track follow-ups and action items from meetings to ensure timely completion.
Travel & Expenses
- Coordinate complex travel arrangements, including air, hotel, and ground transportation.
- Prepare detailed travel itineraries and ensure smooth logistics.
- Handle expense reports, reimbursements, and vendor invoices promptly.
Office Management
- Oversee day-to-day office operations in our Sherman Oaks location.
- Maintain office supplies, manage mail and packages, and ensure common areas stay organized and welcoming.
- Liaise with building management and vendors as needed.
- Support company meetings and events with setup, catering, and coordination.
Administrative Support
- Assist with correspondence, scheduling, and basic research.
- Support internal events such as team lunches, town halls, and celebrations.
- Greet guests and manage hospitality when the CEO is hosting clients or partners.
- Provide ad hoc assistance with special projects and CEO initiatives.
What You Bring
- 2+ years of administrative or executive support experience (agency or marketing environment a plus).
- Excellent communication and organizational skills; calm under pressure, resourceful, and discreet.
- Strong attention to detail and the ability to manage multiple priorities effectively.
- Proficient in Google Workspace, Zoom, and expense management tools such as Concur or Expensify.
- A team player who enjoys keeping things running smoothly behind the scenes.
