Our client, a family-owned & operated trucking company in Dallas, TX recognized as one of North America’s largest asset-based, temperature-controlled transportation & logistics providers, and valued by a wide range of Fortune 500® companies, has engaged us to place a professional, polished, proactive, highly organized & solutions oriented individual in the role of Executive Assistant (EA) to the Chief Revenue Officer (CRO). The CRO has a lot of demands on his time, travels frequently, and is seeking an EA that can execute and moves with the pace & energy that defines how he operates. The EA’s priority will be to help make the CRO better organized & structured, and more efficient & effective by providing administrative, logistical & project management support, as well as some personal support (10-15%), allowing the CRO to focus his time and energy on the areas of the business that require his attention. The EA should be able to prioritize & manage multiple tasks with minimal supervision, thrive under pressure, operate with precision, think two steps ahead, display the highest level of discretion & trust at all times, and perform at the highest level in a fast-paced environment. *Please do not contact our client directly.*
Location: Dallas, TX (East of Dallas, near Mesquite)
Hours: *This is a fully on-site role.*
Monday - Friday: 8:30am-5:30pm w/flexibility to stay later when needed (6pm-ish)
Saturday rotation: 8:30-11:30am/12pm every 3rd Saturday (on-site)
While there’s minimal need/expectation for after hours support (with exception to Saturday rotation), flexibility is needed to receive communications outside of normal business hours, responding to urgent needs immediately, and prioritizing others accordingly (next business day, etc.).

Key Responsibilities Include (but not limited to):
- Proactively maintain the CRO’s calendars, ensuring seamless coordination, prioritizing the most time sensitive matters as scheduling conflicts & last minute requests arise, and ensuring all documents are prepared in advance of meetings
- Draft/compose memos, letters, announcements, and newsletter content on behalf of the CRO
- Organize & update pending task list regularly
- Prepare and refine PowerPoint presentation decks
- Handle procurement of holiday customer gifts/ordering/shipping & maintaining of inventory
- Expense/credit card reconciliation
- Send out company swag/promo gear for company sponsored events
- Assist with travel coordination for the CRO; work with travel agency to coordinate flights/hotel, set up car services, coordinate other logistics as requested, and create/print copies of itineraries & presentations, etc.
- Coordinate internal/external meetings & calls, including scheduling/logistics, gathering background information, drafting agendas, preparing materials and presentations, and sending reminders
- Provide friendly reminders of upcoming commitments & responsibilities as needed, following up appropriately
- Conduct research
- Act as a "barometer," having a sense for the issues taking place in the office, keeping the CRO updated as needed
- Prioritize inquiries & requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements
- Answer the phone, take accurate messages, keep track of CRO’s whereabouts, and handle urgent calls with appropriate judgment
- Manage, compose and prepare confidential correspondence, reports, and other documents, proofing & editing of all documents to ensure accuracy & consistency
- Organize & maintain filing systems, and further refine systems & processes to maximize efficiency
- Maintain address/contacts lists, and be proactive in recognizing when to send thank you notes, gifts, etc. to personal & professional contacts etc.
- Provide personal support as needed (ex: purchase/ship/return items, make appointments, etc.)
- Other related duties as assigned
Experience:
- 5+ years Executive Assistant experience supporting senior management/top leadership (VP to C-Suite) within a fast-paced environment; experience supporting sales executives is a plus!
- MS Office (365) proficiency; tech savvy
Compensation/Benefits:
- Annual Salary: $120,000-$140,000 DOE
- Vacation (3 weeks w/ option to roll over or cash out unused) + Paid Holidays (6)
