We're thrilled to announce the opening for Admin Executive. As the Admin Executive, you will provide dedicated administrative and operational support to both the President’s Office and Human Resource Department. This role plays a key part in ensuring seamless coordination across HR initiatives, executive activities, and office operations within a dynamic environment. The ideal candidate is polished, resourceful, and detail-oriented, with strong organizational, presentation, and analytical skills.
This is a 12-month contract role.
Job responsibilities
Administrative Support
- Prepare and submit Concur expense claims for Regional President and HR team in accordance with finance cut-off dates.
- Use Concur Travel to obtain quotations for flights and hotels and complete all travel bookings and visa arrangements for Regional President and HR team.
- Set up new vendors in the system, and ensure all required documentation is accurately completed for regional people agenda (eg events, leadership summit, legal, CSR, special projects)
- Liaise with vendors on invoicing and payment matters to ensure timely processing.
- Track and reconcile monthly administrative and expenses for both President, HR and Facilities/Office budgets.
- Use Excel to monitor and approve department budgets, track spending, and prepare simple financial summaries (as requested by finance)
- Manage calendar invites for key APAC events and meetings
- Provide administration support to APAC Business Development Director as required
Presentation & Meeting Support
- Support preparation of APAC events; agenda, invites, guest participation, co-ordinate logistics, rehearsals, logistics, gifts etc.
- Co-ordinate with Social Committee on office events and activities
- Help with preparation of presentations and materials as required
HR Support
- Manage APAC HR calendar
- Coordinate the monthly HR newsletter, including content gathering, editing, and design (using Canva)
- Support the coordination and logistics of HR and office events (e.g., monthly birthdays, quarterly HR gatherings, and visitor itineraries)
- Create and update organization charts on HR SharePoint
- Assist in the preparation and organization of HR trainings, including scheduling, room setup, materials, and participant communication
- Coordinate MH employee list for Maison sales
Profile

- Bachelor's degree in Business Administration, Human Resources, or a related field preferred
- Proven experience in an administrative support role, ideally supporting senior executives in a corporate, multinational environment
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), with strong Excel skills
- Experience with expense management (e.g., Concur) and travel booking platforms
- Familiarity with design tools (e.g., Canva) and SharePoint
- Exceptional organizational skills and meticulous attention to detail
- Strong verbal and written communication abilities
- Proactive, resourceful, and capable of managing multiple priorities
- Ability to handle confidential information with discretion
