The Training & LMS Specialist is responsible for providing critical administrative and logistical support to the Training Team and HealthRIGHT 360 Programs, ensuring the seamless execution of all learning activities. This role primarily involves managing the Learning Management System (LMS), tracking training documentation, overseeing in-person training, providing web-based training, and supporting departmental communication through various platforms. The Training & LMS Specialist collaborates with the Training Manager on project management tasks, including tracking and communicating training and training plan development deadlines, scheduling meetings, and organizing project documents.
Learning Management System (LMS) Administration
- Manage and maintain the organization’s online learning management system (Relias LMS), including learner management.
- Responsible for the accuracy and integrity of Relias LMS properties.
- Upload, test, and assign online learning modules and track employee completion rates.
- Generate and disseminate detailed reports on training compliance, completion data, and learning metrics for the Training Manager and other program and department leaders
- Provide first-line technical support to staff related to accessing and navigating Relias LMS.
- Conduct web-based trainings for staff focused on utilizing the Relias LMS platform and basic digital learning skills.
Administrative and Logistical Support
- Coordinate all administrative tasks related to training activities (in-person, distance learning, and online) for the Training & LMS Specialist role, and as needed.
- Manage the logistics for in-person and distance learning sessions, including room reservations, material preparation, and technical setup.
- Maintain accurate and organized documentation of all training attendance, certifications, and evaluation results.
- Assist the Training Manager with project management tasks, including tracking and communicating training and training plan development deadlines, scheduling meetings, and organizing project documents.
- Respond to audit requests by compiling, validating, and submitting training records within required timeframes.
- Respond to Training Help Center tickets.
Content and Communications Support
- Assist in the review, preparation and production of training materials, including handouts, presentations, visual aids, and course evaluations.
- Ensure the departmental SharePoint Intranet site is current, accurate, and easily navigable, posting relevant announcements, training schedules, and resources.
- Coordinate communication regarding training initiatives, schedules, and requirements to staff across the organization.
- Create content for and edit agency-wide Training Newsletter.
And perform other duties as assigned.
Education, Certification, or Licensure
- High school diploma or equivalent. Bachelor’s degree in Education, Psychology/Social Work, or related degree preferred.
- Valid California driver’s license and access to registered and insured transportation preferred.
Experience
- 1+ year experience in project management, training administration, audit support, HR operations, quality assurance, or a related administrative role.
- Experience with Learning Management or e-learning systems or software, preferably with Relias LMS or Articulate 360, or capability and willingness to learn.
- Demonstrated experience using Microsoft 365 applications, including Excel, SharePoint, Teams, etc.
- Experience working in a regulated environment (e.g., healthcare, behavioral health, HR, safety, or government), preferred.
- Experience with basic graphic design or visual content creation to support training materials, communications, or job aids (e.g., flyers, presentations, certificates), preferred.
- Familiarity with graphic design tools such as Canva, Adobe Creative Suite, or comparable platforms, preferred.
