POSITION DESCRIPTION:
The Member Services and Communications Director serves as the administrator of the social media
communications and networking sites approved by the North Dakota Association of REALTORS®. The
Member Services and Communications Director is responsible for the effective management of the social media communications in accordance with the Association’s Social Media Policy as well as the Employee Policy on E-Communications.
Serves as Administrator of the membership programs of the Association. Administers the creation and
distribution of the quarterly NDAR REALTOR® Newsletter, the monthly State News Email Newsletter
(The REALTOR® Report), and oversees the maintenance of the NDAR Website (www.ndrealtors.com).
Offers onsite assistance at meetings, education events, and state convention.
SPECIFIC RESPONSIBILITIES - MEMBER SERVICES
a) Coordinates the quarterly ND REALTOR® Newsletter with Admin Assistant;
b) Coordinates the creation of the monthly State E-Newsletter, The REALTOR® Report;
c) Develops effective membership services programs/benefits; and supervises same;
d) Develops and disseminates NDAR member benefits information and welcome letter to new REALTOR® members; (oversees)
e) Administers and maintains the NDAR Website on as needed basis;
f) Develops brochures, programs and other marketing materials for meetings, seminars, and convention; (oversees)
g) Administers member affinity programs;
h) Keeps updating social media outlets NDAR is using;
i) Conducts member surveys as needed to identifty member needs.
GENERAL RESPONSIBILITIES
a) Assists, serves, and cooperates with the CEO, President, officers, directors and chairs of committees and task forces;
b) Assists the CEO in planning and coordinating meetings of the NDAR Committees, Task Forces, Board of Directors and General Membership; including securing the facility, formulating agendas, distribution of meeting notices, meeting packets, minutes (taking, distribution, and filing) and travels as needed;
c) Responsible for maintaining office equipment and supplies;
d) Monitors continuing education programs, and travels for such as needed;
e) Maintains a working relationship with local boards and associations, other state associations; National Association of REALTORS® and with other real estate related interest groups such as ND Real Estate Commission, ND Housing Finance Agency, and ND Homebuilders Association, etc.;
f) Maintains effective internal and external public relations pertaining to assigned duties;
g) Maintains a high level of customer service through general knowledge in all aspects of the Association;
h) Participates in State and National activities and programs within the limits of the association’s budget;
i) Maintains the office files of the Association, keeping all files current and purging files as needed following the Record Retention Schedule for Association;
j) Shares responsibility of answering phone with Assistant;
Must be an effective organizer with the ability to recognize priorities and follow through on them with a minimum of supervision. Must be able to relate and communicate with the public and the General Membership and display a helpful and courteous attitude to all who communicate with the office relating to all types of personalities while displaying a helpful, courteous attitude to all is a must.
STATEWIDE FORMS LIBRARY
a) Maintains the Association’s Statewide Forms Library;
b) Responsible for working with the Statewide Forms Committee to keep existing forms up to date;
c) Responsible for working with the Statewide Forms Committee to create any new forms requested by membership and approved by the committee;
d) Responsible for managing the forms@ndrealtors.com inbox, including responding to questions and processing Statewide Forms Requests received;
e) Operates as liaison between the Association and third-party platforms that host the Statewide Forms (ex. TransactionDesk, zipForms, etc.);
f) Creates fillable PDF versions and watermarked PDF versions of all forms to be posted on NDAR Member’s Only website;
REALTOR® CONVENTION OF THE DAKOTAS
a) On years NDAR hosts convention (every other year, even years only), operates as staff person assigned to convention;
b) Operates as staff liaison for all convention planning committees;
c) Works closely with convention chair/co-chairs to coordinate activities of planning committees;
d) Executes plans of committees, including completing contracts and planning events with host location(s);
e) Helps with recruitment of sponsors and works with said sponsors to ensure they are receiving full benefits of their sponsorship level;
f) Plans and executes RPAC Reception, in partnership with CEO and South Dakota REALTORS® staff, independently from committees;
g) Works with educators, speakers, entertainers, and NAR representatives to plan their visit, classes/presentations/performances, and ensure their needs are met;
h) During week of convention, provides onsite support to ensure all events run smoothly;
PROFESSIONAL STANDARDS
a) Operates as the “Professional Standards Administrator,” responsible for the administration of all professional standards processes;
b) Completes Professional Standards Training through NAR;
c) Fields phone calls from members and the public with concerns or complaints;
d) Distributes packets (either via email or posted) for information on filing an ethics complaint and/or an arbitration request;
e) Processes ethics complaints and/or arbitration requests according to the timelines and instructions set in NAR’s Code of Ethics and Arbitration Manual;
f) Coordinates and hosts hearings (in-person, hybrid, or virtual), working with complainant(s), respondent(s), and hearing panel chair/members to schedule;
g) Offers administrative support during hearing and records the hearing panel’s findings of fact;
h) Manages thorough files on all cases and maintains confidentiality of each case;
