Development Administrator Job Description

Qualifications
- Prior experience coordinating nonprofit Fundraising events
- Nonprofit Development and fundraising experience
- Administrative experience, preferably in a non-profit or development setting
- Experience with or willingness to learn our Fundraising Platform: Network for Good
- Excellent Computer literacy, including Google Suite (Gmail, Sheets, Google Docs, Google Calendars), Zoom, Calendly, etc.
- Excellent written and verbal communication skills
- Organized
- Proficient in Calendar & Schedule Management
- Proficient in drafting, formatting, and proofreading reports, emails, and presentations
- Able to manage multiple deadlines and projects with attention to detail
- Flexible
- Ability to work in a fast-paced environment
- Ability to maintain a high level of confidentiality
- Adept at solving problems quickly and effectively
- Trauma-Informed with a heart for empowering women survivors of trauma
- An understanding that faith is an important element in one’s growth
- Full-Time Position: Monday through Friday
Key Responsibilities
Fundraising Event Coordination
- Assist in planning, coordinating, and executing fundraising events
- Giving Tuesday Open House
- Giving Tuesday Dinner at Manor Tavern
- Spring Fundraising Event (Topgolf or other venue)
- Mentee Celebration
- Funder support dinners
- Pollinator Donor Gratitude event
- Other Events as they evolve in coordination with the Fundraising Committee
- Sourcing venue event platforms for recommendation and selection and researching vendors and companies to support The Well’s fundraising events
- Assisting with building out the event pages on various platforms that are aligned with needs and branding
- Coordination and leading of committee meetings for staff, fundraising committee and volunteers, including agendas, meeting minutes, and conference calls.
- Maintaining event timelines, expenses and budgets
- Manage event logistics, including registration, guest lists, and donor tracking.
- Coordinate event communications, invitations, and follow-up.
- Track sponsorships and donor recognition related to events.
- Lead event-day logistics and post-event reporting.
- Donor Development and Relationship Management
- Invite businesses, friends, churches, and individuals to attend events/give
Donor Database & Record Management
- Maintain and update donor records in the organization’s donor management system, Network for Good.
- Track donations, pledges, and donor interactions.
- Generate reports related to fundraising progress, donor activity, and campaign performance.
- Ensure the accuracy and integrity of development data.
Gift Processing & Acknowledgements
- Prepare and send donor acknowledgment notes and tax receipts.
Fundraising Campaign Support
- Provide administrative support for fundraising campaigns and appeals.
- Provide content to the Marketing Department for quarterly donor communication newsletter emails.
Executive Administrative Support
- Provide administrative support to the Executive Director and Chief Operating Officer.
- Assist with scheduling meetings, managing calendars, and coordinating logistics
- Manage and maintain the Executive Director’s calendar: schedule meetings, events, and travel
- Prepare meeting materials, reports, and presentations as needed.
- Help coordinate board and leadership communications and documentation.
- Maintain organized files and records for executive and development operations
- Manage and maintain the Executive Director’s calendar: schedule meetings, events, and travel
- Screen calls, emails, and Calendly requests; prioritize and respond as appropriate.
- Act as a liaison between the Executive Director and staff, donors, board members, and external stakeholders.
- Draft internal and external communications on behalf of the Executive Director.
- Coordinate cross-departmental meetings and ensure follow-up.
Donor Relations
- Assist with donor stewardship activities and engagement.
- Coordinate donor follow-up and maintain donor recognition lists.
- Gift Processing & Acknowledgements
- Prepare and send donor acknowledgment notes and tax receipts.
- Support efforts to strengthen donor relationships and retention.
- Give tours to incoming prospective donors before meeting with the Executive Director
General Administrative Support
- Support cross-departmental coordination when development projects intersect with programs or operations
- Order office supplies and print materials
- Maintain filing systems (digital on Google Drive and physical).
- Ensure smooth day-to-day operations of the executive office
- Confidential & Legal Support
- Handle confidential and sensitive information with discretion.
- Help with compliance reporting, nonprofit filings, and policy documentation.
