Marketing Administrator (Temporary Assignment)
Job Summary
The Marketing Administrator is a highly organized individual who will support the day-to-day administrative and coordination needs of the museum’s Marketing and PR department. Working under the supervision of the Deputy Director, this temporary role will assist with tracking projects, coordinating marketing materials, and supporting communication workflows across departments.
Essential Functions
- Assist with the coordination and administrative tracking of marketing projects, including brochures, signage, and other printed or digital materials.
- Help maintain project timelines and task tracking through various project management software (Asana and Outlook).
- Support communication between the Marketing & PR department and other museum departments regarding marketing requests and project status.
- Assist in coordinating with external graphic designers to produce or update marketing materials, signage, and campus messaging.
- Track marketing projects by maintaining calendars, deadlines, and deliverables.
- Provide administrative support for the review and copy-editing process for marketing materials.
- Attend departmental or project meetings as needed to assist with coordination and note-taking.
- Assist with the coordination of website updates, e-newsletter scheduling, and other digital marketing deliverables as assigned.
- Support the coordination of marketing materials and timelines for exhibitions, programs, and member events.
- Assist with tracking vendor deliverables, file routing, approvals, and related administrative follow-up for marketing projects.
- Help maintain organized digital files, shared folders, and project records to support continuity and handoff.
- Provide administrative and project coordination support for evolving departmental priorities during the temporary assignment.
Education and Experience:
- Bachelor’s degree preferred, with emphasis in English, Journalism, Communications, Art History, or a related field.
- At least two (2) years of experience in communications, marketing, publishing, or administrative coordination preferred.
- Experience supporting marketing or communications projects in an arts or cultural organization is helpful but not required.
Knowledge, Skills and Abilities:
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to follow established processes and procedures.
- Ability to work both independently and collaboratively in a team environment.
- Professional interpersonal skills and ability to work with a variety of departments and stakeholders.
- Proficiency in Microsoft Office Suite required; familiarity with Asana or similar project management tools preferred.
- Candidates should demonstrate strong written communication skills, including proper use of spelling, grammar, and punctuation, and familiarity with AP and/or Chicago style guides is beneficial.
Hourly Pay Rate, Schedule, Work Location:
- Pay Rate: $18–20.00/hr (paid weekly)
- Work Schedule: Must be available to work a flexible schedule weekly
- Flexible schedule M–F, 8:30–5:00, up to 35 hours weekly
- Start: as soon as possible
- Length of assignment: Temporary assignment through June 27, 2026, with possibility to renew
- Work Location: Meadows Museum on SMU Campus
