We are a busy, Latina-owned and family-operated real estate brokerage based in Fairfax, VA. Our office supports a team of dedicated real estate professionals and provides a welcoming, collaborative environment. We are looking for a proactive and organized Administrative Assistant who enjoys helping others succeed and can help keep our office running smoothly.
This position is ideal for a student or someone looking for a flexible part-time schedule with the potential to grow into a full-time role.
Key Responsibilities:
- Coordinate the overall office schedule of events and activities
- Assist with event planning and coordination
- Organize office spaces and seasonal decorations
- Manage office supply and equipment inventory
- Submit and follow up on office maintenance requests
- Greet clients, visitors, and agents in a professional and welcoming manner
- Prepare and coordinate mailings
- Support agents with technology, supplies, signs, and general office needs
- Ensure new agents receive their marketing kit and access to office resources
- Help prepare the office newsletter, birthday greetings, and team recognition
- Maintain and update office boards and displays
- Track agent licenses and renewal/expiration notices
- Prepare credit letters and other administrative documents
- Print marketing materials and agent color paper requests
- Prepare materials for open houses
- Deposit checks and assist with basic administrative financial tasks
- Assist with file compliance and document organization
- Occasionally visit our Maryland office to deliver supplies and ensure organization
- Assist with occasional client intake
- Take photos and videos for social media content
- Run occasional office errands as needed Qualifications
- Bilingual (Spanish and English) required
- Strong customer service and interpersonal skills
- Highly organized with strong attention to detail
- Proactive and able to work independently
- Comfortable using technology and helping others with basic tech needs
- Familiar with Google Workspace (Docs, Sheets, Drive), Microsoft Excel, and Word
- Reliable transportation for occasional errands and office visits Preferred Qualities
- Friendly, positive, and professional demeanor
- A “people person” who enjoys supporting a team
- Interest in real estate, marketing, or business operations is a plus
