Position Overview
The Front Office Assistant supports the Film & Media Studies department in Summerfield Hall by greeting and assisting students, visitors, faculty, and staff, while also contributing to day-to-day office operations. This role requires strong attention to detail and includes support for departmental projects such as newsletters, graphics, and other communication materials.
Job Description
70% - Communications & Newsletter Production
- Research and gather content related to Film & Media Studies students, faculty, and alumni for use in departmental communications.
- Monitor campus and external sources (e.g., KU Today, student publications, online platforms) for relevant articles and updates.
- Format and produce the FMS newsletter using Canva, including incorporating images and graphics.
- Review content for clarity, accuracy, and basic proofreading.
- Maintain organized records of collected articles and materials for future use.
15% - Front Office Support
- Serve as a first point of contact for students, visitors, faculty, and staff in the FMS office.
- Answer phone calls and respond to general inquiries.
- Assist with distributing mail and maintaining the front office space.
- Prepare materials for prospective student visits.
15% - Administrative & Project Support
- Assist with creation of departmental materials such as flyers and promotional materials.
- Support special events and office initiatives as needed.
- Help track and organize office supplies.
- Complete additional projects and tasks as assigned
Required Qualifications
- Must be in good academic standing, as indicated in application materials.
- Excellent written communication skills, as indicated in application materials.
- Availability to work at least 2 consecutive hours, as indicated in application materials.
Preferred Qualifications
- Experience using Canva or similar design tools to create newsletters, flyers, or social media graphics, as indicated in application materials.
- Availability to work during one or more of the following times: Mondays or Wednesdays between 10:00am-1:00pm, or Fridays between 1:30-3:30pm, as indicated in application materials.
- Federal Work Study eligibility
- Experience with Microsoft Word and Excel, as indicated in application materials.
- Previous office, administrative, or customer service experience, as indicated in application materials.
Position Requirements
During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).
Employment Conditions
- Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.
- This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
