Advertised Job Summary:
Under limited supervision, reporting to the Director of Strategic Operations in the Office of Gift and Estate Planning (GEP), the Assistant Director of Donor Stewardship and Communications plays a strategic and proactive role in advancing the mission of GEP by overseeing stewardship processes, targeted donor communication workflows, and digital information systems that support lifelong donor engagement. This position strengthens the Carolina Guardian Society (CGS) recognition program, enhances the donor experience through thoughtful and timely communications, and ensures the accuracy and integrity of digital records and CRM data.
The Assistant Director collaborates closely with internal partners, including Directors of Development, the Office of Donor Relations, Communications, and Marketing, and campus units—to execute high‑quality stewardship initiatives, manage critical documentation processes, and support targeted marketing efforts that increase awareness and participation in estate and planned giving.
Job Related Minimum Required Education And Experience:
- Requires a bachelor’s degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Preferred Qualifications:
- Bachelor’s degree and 3 years’ experience in the area of development/advancement program or a related industry.
- Experience in higher education or other non-profit organizations.
- Above average skills with Microsoft professional Package (Word, Outlook, Excel, and PowerPoint).
- Familiarity with USC policies, procedures, and systems.
Knowledge/Skills/Abilities:
- Demonstrated proficiency in both verbal and written communication skills, attention to detail, customer-service orientation, and the ability to work independently while contributing to the office functions.
- Established administrator in a fast paced and complex organization with past experience exceeding expectations of demanding internal and external constituencies.
- Ability to exercise excellent professional judgment and discretion.
- The ability to interpret information accurately, take direction, initiate action, and work as a team member is essential.
- Expertise and past experience managing projects, especially serving event communications and data management.
- Demonstrated proficiency in the gift planning software and able to run gift calculations, with and without supervision.
- Substantial knowledge of computers and various computer software programs (proficiency in MS Word, Excel, PowerPoint and Adobe Acrobat Professional).
- A sense of accountability to oneself and for others as it relates to meeting commitments, inclusive management style that actively solicits input from team members.
- Processes high level of integrity, confidence and positive attitude while being mission driven.
Job Duty:
Electronic Signature & Documentation Management:
- Oversee and manage the Adobe Sign workflow for approved gift agreements and related documents to ensure efficient, accurate execution.
- Upload, distribute, monitor, and track documents; send proactive reminders to units and donors.
- Provide step-by-step guidance to stakeholders to streamline the signing experience.
- Ensure fully executed documents are distributed promptly and stored in compliance with retention and digital security standards.

Carolina Guardian Society Engagement & Event Communications:
- Serve as the primary liaison for CGS event coordination and communication workflows. Consult with Donor Relations for recommendations and campus navigation tips.
- Prepare and distribute event notifications, ensuring timely cross‑team collaboration. Partner with internal Communications to ensure marketing alignment with university brand and messaging.
- Coordinate proactive sharing of post‑event photos and videos with CGS members.
- Upload event media to the GEP website with accuracy and timeliness to support ongoing donor engagement.

CGS Member Data & Digital Records Management:
- Support CRM data integrity initiatives to strengthen CGS reporting accuracy and recognition management.
- Conduct quarterly membership reviews to ensure accurate tracking of new, lapsed, inactive, and deceased members.
- Maintain and enhance digital donor and prospect records across CRM platforms.
- Process, index, and securely store electronic documents, ensuring compliance with digital records and audit standards.

Marketing, Communications & Stewardship:
- Assist with strategic, targeted marketing efforts promoting legacy giving in partnership with units and Directors of Development.
- Prepare and distribute approved marketing materials; track outreach results to inform future strategies.
- Maintain the Techniques newsletter distribution list and identify prospective financial advisors for expanded outreach.
- Support Carolina’s Future follow‑up tasks, including CRM linking and coordination of magazine distribution.
- Draft and coordinate CGS social media content; monitor engagement and maintain organized content records.
- Oversee the planning, production, and mailing of the annual CGS Thanksgiving card.
- Coordinate the annual holiday gift program for CGS members with $1M+ estate commitments, including eligibility review, shipping logistics, and CRM stewardship documentation.
Strategic Projects, Reporting & Information Management:
- Assist with targeted legacy‑giving marketing efforts in collaboration with units and directors of development.
- Prepare and distribute marketing materials and track outreach activity.
- Support Techniques newsletter list management and research prospective financial advisors.
- Complete Carolina’s Future follow‑up tasks and coordinate magazine distribution.
- Draft and coordinate CGS social media content and track engagement.
- Oversee the annual Thanksgiving card production and mailing process.
