The Project Manager II, Creative Services position exists to lead the full lifecycle of 1,500+ creative projects annually, ensuring timely delivery of high-quality assets through strategic planning, workflow optimization, and the expert use of project management systems. This role manages a high volume of cross-functional creative and marketing initiatives, serving as a key liaison between internal stakeholders and the Creative Services team. The Project Manager II resolves competing priorities, drives operational efficiency, and ensures alignment with client expectations across diverse project scopes. Additionally, this position acts as a subject matter expert for project management platforms and contributes to team training, reporting, and agile process development. The position requires strong initiative, organizational skills, attention to detail, and adaptability in a fast-paced, deadline-driven environment.
Essential Duties/Responsibilities
Strategic Project Management & Tracking:
- Leads end-to-end production of creative and marketing assets, overseeing all scheduling, timelines, and delivery of deliverables across a dynamic portfolio of 100+ ongoing projects, totaling 1,500+ per year. Proactively identifying and resolving potential workflow inefficiencies to improve speed, quality, and performance
- Drives strategic resource planning by analyzing capacity reports and forecasting demand beyond incoming requests to anticipate bandwidth constraints, align talent and tools with project needs, enable proactive staffing, and ensure deadlines and budgets are met
- Monitors project workflows, preventatively identifying bottleneck risks, leading mitigation planning to protect timelines, budgets, and output quality
- Makes unbiased, data-informed staffing decisions by aligning designers and copywriters with projects based on skillset, style, and development goals held by Sr. Creative Manager
Stakeholder Communication & Project Status Reporting:
- Partners with cross-functional teams and department leaders, representing Creative goals and process to align ministry needs with enterprise (ePMO) priorities. Serves as Creative proxy to ensure goal alignment, maintain continuity in collaboration, and support project execution through unified team representation
- Translates complex initiatives and creative requests into clearly defined requirements, scopes, timelines, and deliverables
- Supports Creative Sr. Manager in communication and coordination efforts with clients by providing production updates and reports; negotiating deadlines in response to scope changes
- Leads the design and development of internal communication tools, including a monthly newsletter highlighting project milestones, interdepartmental success stories, and operational updates
Systems Leadership & Process Optimization:
- Serves as systems engineer and subject matter expert on project management tools (ClickUp, Aprimo, Smartsheet, all current PM software) customizing creative dashboards and workflows to meet evolving business needs
- Leads system enhancements, resolving user issues, and collaborating with IT and support teams to ensure optimal platform functionality and adoption
- Evaluates and refines project workflows for scalability and efficiency, championing continuous process improvement across the creative team
- Troubleshoots Aprimo system issues and manually assign tasks when needed
- Serves as a go-to resource for client questions related to project scheduling, tracking and asset delivery
Reporting & Documentation:
- Defines, monitors, and reports on key performance indicators (KPIs) to measure project health and drive data-informed decisions
- Creates and presents utilization reports, KPI dashboards and end-of-year summaries to executive stakeholders for strategic planning and resource optimization
- Develops and maintains SOPs and best practices for project systems and workflows, ensuring consistency and efficiency
- Maintains production calendars and updates project statuses in Aprimo and Current PM platforms
Leadership & Training:
- Leads training initiatives for all creative PM tools, providing onboarding and ongoing education for creative and project management staff
Other Duties/Responsibilities:
- Co-manages Creative’s internal website
- With prior Creative Sr. Manager approval, assists with department purchases using the P-card, ensuring fiscal responsibility and documentation compliance
- Performs other duties as assigned

Knowledge/Experience:
- Bachelor’s degree in Operations, Advertising, Marketing, Communications, or related field (or equivalent experience)
- 4-6 years of experience in project management
- Familiarity with creative design processes and project management tools
Skills, Abilities, and Special Talents/Gifts:
- Strong attention to detail and organizational skills
- Effective communicator with strong interpersonal and problem-solving abilities
- Comfortable with complex scheduling systems and high-volume project tracking
- Ability to work independently and adapt to frequent changes
- Creative design/understanding and copywriting is a plus
Stewardship Requirements:
Pay Range: $72,904 to $87,153
