Role Summary: We are seeking a proactive, organized, detail-oriented marketing professional who can move projects from concept through execution, and combines strong communication and creative skills with a passion for delivering exceptional experiences and supporting organizational growth. The Marketing & Communications Specialist helps bring the company’s marketing strategy to life. Reporting to and working closely with the Director of Marketing, this role executes client and prospect communications, content, digital campaigns, brand materials, marketing operations, events, and marketing performance reporting.
Essential Duties and Responsibilities:
- Exercise editorial judgment when developing and refining content to ensure it aligns with brand standards, audience needs, communications objectives, and compliance requirements;
- Manage the marketing calendar and publishing schedules across email, website, social media, and other channels;
- Draft, edit, publish, and maintain client-facing content, including newsletters, emails, blog articles, social posts, landing pages, resource materials, and marketing collateral;
- Gather input from advisors and other subject matter experts and translate their knowledge into clear, useful marketing content;
- Maintain the content library and ensure published materials remain current, consistent, compliant, and aligned with brand standards;
- Translate marketing objectives and content into visual concepts and branded assets using Canva, Powerpoint, and other approved tools, including social graphics, presentations, brochures, event materials, and digital collateral;
- Determine message hierarchy, imagery, color application, and format within established brand guidelines and based on the intended audience, channel, and communication hierarchy;
- Adapt established brand standards to new communications needs and identify situations in which new templates, formats, or creative solutions are required;
- Design, test, and deploy email campaigns through Keap and other approved systems;
- Create audience segmentation strategies and manage distribution lists;
- Own the coordination and scheduling client and prospect communications;
- Analyze campaign performance and recommend opportunities for optimization and improvement;
- Maintain accurate marketing contact data across the company’s approved CRM and email marketing platform;
- Partner with Operations to coordinate contact updates as needed;
- Support compliance review and submission processes for marketing materials;
- Maintain marketing project trackers, calendars, and documentation;
- Monitor and manage shared marketing inbox;
- Coordinate marketing project timelines, deliverables, and follow-up with internal stakeholders and external vendors;
- Identify process improvement opportunities and recommend enhancements to marketing workflows, systems, or reporting processes;
- Assist with planning and execution of client events, seminars, workshops, and business initiative campaigns;
- Coordinate event logistics, invitations, communications, and follow-up activities;
- Support client appreciation initiatives, gifting programs, and relationship-building efforts including the execution of referral, center of influence, community outreach, and other business development initiatives;
- Recommend communication strategies, promotional tactics, and participant engagement opportunities for client events and marketing programs;
- Maintain recurring marketing reports and dashboards across email, website, social media, campaigns, events, referrals, and lead activity;
- Analyze marketing performance and campaign results to identify trends, opportunities, and areas for improvement;
- Evaluate the effectiveness of marketing initiatives and recommend testing, optimization, and process improvements to enhance future performance. This may include adjustments to content, audience, channel, workflow, or process; and
- Support the development of marketing attribution and measurement approaches, including identifying data gaps, defining tracking needs, and improving reporting processes.
Qualifications:
- High School Diploma, Required;
- Bachelor’s degree in marketing, communications, journalism, design, or a related field, preferred.
- 2-5 years of experience in marketing, communications, content development, or related role, preferred
- Self-starter who can move projects forward with limited supervision;
- Creative thinker with strong problem-solving skills;
- Ability to translate ideas into clear, compelling marketing materials;
- Comfortable collaborating across departments and working with multiple stakeholders;
- Must exhibit a high level of confidentiality;
- Excellent written and oral communication, and copywriting skills;
- Strong attention to detail, organizational, time-management, and problem-solving skills and ability to manage and meet tight deadlines for multiple projects simultaneously;
- Comfortable learning and utilizing new technology platforms and approved AI-powered tools to improve efficiency and marketing effectiveness;
- Demonstrates professionalism and a client-first mindset when supporting communications, events, and marketing initiatives;
- Exceptional proofreading skills and a demonstrated commitment to accuracy;
- Commitment to maintaining accuracy across marketing materials and databases;
- Experience supporting events, client communications, or service-related businesses;
- Collaborative team player; and
- Commitment to client service excellence.
- High proficiency in MS 365, including Word, Excel, Outlook, PowerPoint, Excel and Teams;
- Graphic design experience with the application Canva and other creative tools;
- Experience with email marketing platforms, CRM systems, audience segmentation, and contact database management;
- Experience with reporting tools such as FI360, preferred; and
- Working knowledge of all standard office equipment.

Compensation: $75,000-$90,000
