Job Description:
This position will be responsible for assisting one of the Partners at PRE.VEYOR. The ideal candidate will have excellent communication skills and be able to prioritize and multi-task efficiently in a fast-paced, demanding and ever-changing environment.
· Maintaining and coordinating busy schedules for Partner
· Acting as a key point of contact for all third parties, filtering information as necessary to the Partner
· Efficient daily communication and information flow with talent ensuring confidentiality and discretion at all times
· Responsive and informative client/industry interaction via phone and e-mail
· Preparing talent contracts
· International diary management across multiple time zones including complex schedules – promotional, travel bookings, visas, accommodations, re-location and itineraries
· Booking or coordinating complex travel arrangements and creating detailed travel itineraries (air, hotel & ground transportation)
· Coordinating wardrobe, hair and make-up for client events and appearances
· Liaising Accounting Team, preparing invoice reports, following up on pending payments
· Work closely with Partner to project manage and execute partnerships with talent from post-contract phase through campaign completion, including scheduling calls/shoot dates, coordinating content calendars, overseeing shipments and arranging preview and live dates
· Input all campaign details into tracker system as necessary
· Prepare and submit proposals decks in a timely and efficient manner
· Ongoing maintenance and updating of industry contacts, event calendar and newsletter
· Ensuring bios & press kits are current
· Compiling data for reports, creating presentations, writing social media recaps & reports
· Covering client events (DJ gigs, photo shoots, appearances, etc.)
· Assisting with planning and implementation of promotional/social media plans, press, marketing, touring, etc.
Required Experience:
· 1-2 years of administrative assistant experience in a related field (i.e. Talent Agency and/or Management, PR, Marketing)
· Strong written, verbal, and visual presentation communication skills
· Excellent interpersonal skills; ability to interact with all personality types and behaviors; flexibility and adaptability
· Ability to work efficiently in a fast-paced environment with a high-volume email/workload
· Proactive, organized, and detail-oriented work style
· Ability to work against deadlines
· A passion for talent representation and digital / social media
· A working knowledge of Microsoft Office, Box, G Suite, Zoom, Mac, Outlook, Slack, Adobe, and/or other tools and technology
Preferred Experience:
· Knowledge of and experience using Instagram, YouTube, TikTok, Facebook, Snapchat, etc.
· Knowledge of Google Analytics and additional analytics platforms
· Traffic analysis tools experience (ex. CreatorIQ, Social Rank)
· A working knowledge of Microsoft Office, Box, G Suite, Zoom, Mac, Outlook, Slack, Adobe, and/or other tools and technology
