THE ROLE
Gabrielle Bernstein is a renowned spiritual teacher, #1 New York Times bestselling author, and founder of the Gabby Coaching app. Her down-to-earth spiritual advice has helped millions manifest a life beyond their wildest dreams. She has been hailed as a "thought leader" by Oprah Winfrey and as a "role model" by the New York Times. Our company, Dear Gabby, Inc., is on a mission to make spirituality and self-help accessible to as many people as possible, and this role is vital to our mission.
We are seeking a highly organized, proactive, and strategic Executive Assistant to support Gabrielle Bernstein and her Chief Brand Officer. This is a high-impact role that acts as a central hub for communications, partnerships, and logistics, enabling Gabrielle and her team to maximize their impact.
The ideal candidate will have experience supporting a high-profile founder with a personal brand, excellent communication skills, and a knack for multitasking in a fast-paced environment. This role requires a high level of discretion, professionalism, and a 'many hats' attitude, as you will be working closely with Gabrielle, her Chief Brand Officer, and all external partners.
KEY RESPONSIBILITIES
Your responsibilities will be broad and dynamic, falling into three main categories:
Executive Support & Calendar Management
- Strategic Scheduling: Manage and strategically plan Gabrielle’s complex calendar, ensuring she is able to prioritize the work that only she can do.
- Meeting & Event Briefing: Ensure Gabrielle is fully briefed and prepared for all meetings, partnerships, and events.
- Task Management: Manage Gabrielle’s Asana; tasking her follow-ups, tracking her tasks, and communicating with stakeholders/team members to ensure deadlines are met.
- Travel Coordination: Coordinate all domestic and international travel arrangements for Gabrielle .
- Personal Scheduling: Provide personal support as needed.
- Coordinating with stylist, make-up artists etc
Communications & Partnership Coordination
- Communications Hub: Act as the primary gatekeeper for all incoming inquiries for interviews, partnerships, and events. You will create and manage a streamlined system for reviewing these opportunities with Gabrielle and her Chief Brand Officer, ensuring every person receives a timely and professional response.
- Liaison & Point Person: Serve as the day-to-day point person for key external partners, including Gabrielle’s agents and publishers.
- Partnership Fulfillment: Once an event or partnership is agreed upon, manage all information flow, ensuring all parties have the information and assets they need.
- Cross-Functional Coordination: Ensure the marketing team has all necessary information regarding partnerships and events. For example, if an external event is contracted to be in a newsletter, you will get all relevant info to the marketing team to ensure we fulfill our obligations and communicate this back to the partner.
- Contact Database Management: Keep the database of brands, media, and influencer contacts (in Notion) meticulously up-to-date.
- Special Projects: Support Gabrielle and Chief Brand Officer with special projects as they arise, such as coordinating influencer gifting campaigns.
- Content Asset Management: Work closely with the Social Media & Marketing Project Manager to ensure any content generated by third parties (e.g., external podcasts, magazine photoshoots) is shared and properly archived.
- In addition, Gabrielle and Social Media & Marketing Project Manager in content organization as needed.
Event/Podcast & Logistical Support
- On-Site Support: Accompany Gabrielle to press engagements, photoshoots, podcast recordings and events as required, providing on-the-ground support to ensure everything runs smoothly.
- Content Capture: When accompanying Gabrielle , be willing to capture "behind-the-scenes" (BTS) content (photos/videos) for the marketing team.
- Shoot Coordination: Provide logistical support for photoshoots/video shoots/podcast recordings (working with Chief Brand Officer and Social Media & Marketing Project Manager to make sure everything runs smoothly)
- Guest/speaker coordination and white glove experience for our events/podcast guests.
- Event Planning: Support the Chief Brand Officer in the planning, production, and marketing of our internal events program, including liaising with venues, vendors, and sponsors, managing logistics, and updating event P&L spreadsheets.
- Team Offsites: Organize all logistics for team offsite events, including booking travel, accommodation, and meals.

EXPERIENCE & QUALIFICATIONS
- A minimum of 5+ years experience as an Executive Assistant.
- Proven experience working for a founder, public figure, or high-profile individual with a personal brand.
- A strong understanding of the media, social media, and partnership landscape.
- Experience working for a small business or startup.
- You’ve worked fully remotely before and thrived in that environment.
- Exceptional written and verbal communication skills.
- Expert-level proficiency with modern tech stacks (e.g., Asana, Notion, Slack, Google Workspace, Excel, or similar tools).
- Desirable: Experience working within the spiritual or wellness space.
- Desirable: Previous experience in event planning and production.
