✨ The Role
We are hiring an Agency Operations Coordinator to support internal operations across the agency. This is a remote independent contractor position designed for someone who has prior experience working in an agency or company that provides graphic design and website development services.
This role is best suited for an A-type operator who is disciplined, resilient, and accountable to others. You move with urgency, communicate warmly and clearly, and you are comfortable receiving editorial feedback and implementing revisions by adapting quickly and thoughtfully. You need to be exceptionally responsible, organized, and fast.
🕒 Schedule and Availability
This role requires consistent office hours and reliable responsiveness during that time. You must be available:
- 10:00 a.m. to 2:00 p.m. EST, Monday through Friday
- 20 hours per week total. Most collaboration happens virtually, so you must be comfortable using Google Chats, joining calls via Google Meet, and checking in with internal team members during core hours. There will occasionally be in-person meetings and content days.
- Term: 4-month contract to start
📍 Location
This is a mostly remote position. Preference will be given to candidates in or near Philadelphia for occasional in-person sessions
🧩 What You’ll Do
You will work closely with Leadership in the Corporate Office Team to keep internal operations organized, moving, and documented. Responsibilities may include:
- Receiving assignments, organizing priorities, and driving tasks forward with urgency and follow-through
- Coordinating and delegating tasks to team members as directed, tracking progress, and following up to close loops
- Supporting HR operations such as job postings, candidate coordination, first round interviews, onboarding, and offboarding
- Maintaining internal records and updating documentation as needed
- Ensure the correct resources are shared and confidential information is restricted
- Conducting research and supporting blog writing, editing, and publishing
- Assisting with website updates and light content management including social media, Press Releases, & newsletters
- Supporting portfolio, case study, and service updates and internal materials that showcase our work
- Improving workflows by identifying gaps, tightening processes, and implementing operational solutions
- Creating and maintaining SOPs, training manuals, and internal tutorials
- Coordinating internal meetings, preparing agendas, and humanizing notes produced by AI
- Creating and distributing the internal newsletter as well as inspire engagement in group chats
- Supporting internal events and team initiatives that will take place in-person on occasion
- Prompting team members to keep availability, calendars, working hours, and OOO days current
- You occasionally participate in in-person meetings and content days, both in front of and behind the camera

🧠 Qualifications
- Proven experience in an operations, coordination, or administrative role
- Prior experience working in a creative environment in which the team around you delivers graphic design and website development services
- Strong written and verbal communication skills (over-communication is valued as well as succinct communication)
- Highly organized, disciplined, detail-oriented, and able to prioritize in a fast-paced environment
- Comfortable with virtual communication and coordinating across a remote team
- Proficiency with Google Workspace required
- Familiarity with WordPress and Notion strongly preferred
- Reliable internet connection and comfort working remote on most days (occasional in-person)
- Openness to professional development and evolving processes
💰 Compensation
$22 per hour to start
