Job Summary:
We are seeking a highly organized and detail-oriented Internal Communications Publishing Specialist to support enterprise-wide communications efforts. This role will be responsible for publishing, formatting, proofreading, and distributing content across internal platforms including SharePoint.
This is a highly collaborative, visibility-driven role that requires strong operational execution rather than creative content writing. The ideal candidate will work closely with subject matter experts and content creators to ensure communications are accurate, properly structured, aligned to brand standards, and distributed effectively.
Key Responsibilities:
- Internal Content Publishing: Publish and update SharePoint pages using basic widget functionality, ensuring accuracy, consistency, correct formatting, visuals, and proper placement of video content.
- Email Distribution & Proofing: Manage and proofread internal email communications using Poppulo or similar tools (2–10 emails per week). Ensure distribution lists are accurate, reminders are scheduled appropriately, and invitations are centralized and managed effectively.
- MySource Channel Management: Support MySource internal communications channel (4–7 stories per week), uploading pre-approved articles, formatting content exactly as provided, sourcing appropriate visuals, embedding videos, and ensuring publishing standards are met.
- Cross-Functional Collaboration: Partner with approximately six content writers and stakeholders to structure, format, and prepare communications for release. Work in close alignment with the team subject matter expert for approvals and second opinions as needed.
- Quality Control & Governance: Serve as the final quality checkpoint before publication flagging inconsistencies, correcting errors, ensuring brand and channel standards are followed, and maintaining an employee-first mindset in all communications.
- Process Development & Optimization: Help centralize companywide invitations and publishing processes. Over time, take greater ownership in determining readiness of content submissions and shaping newsletter curation.
Qualifications:
- 1–3 years of professional writing experience (strong editorial and proofreading skills required)
- Excellent written communication skills
- Bachelor’s degree in Journalism, Communications, or related field
- Highly organized and detail-oriented
- Self-starter with the ability to work independently
- Ability to take direction, incorporate feedback, and pivot quickly
Preferred Experience:
- Experience with Poppulo or similar internal email distribution tools
- SharePoint publishing experience (basic design and widget functionality)
- Experience working in-office within a collaborative communications environment
- Familiarity with Outlook distribution lists and calendar invitation management
- Experience working in structured publishing workflows rather than purely creative writing roles
