Position Summary
The Charlotte Area Chamber of Commerce is seeking a highly organized, strategic, and relationship-driven Director of Events and Committees to oversee the planning, execution, growth, and success of the Chamber’s events and committee programs.
This position is responsible for managing a wide range of Chamber events, from small networking programs and ribbon cuttings to large-scale signature events, conferences, expos, and community gatherings. The Director of Events and Committees will also provide leadership, structure, and support for the Chamber’s committees, including Programs, Ambassadors, Women in Business, Young Professionals, Public Policy, Founders, and Wellness.
The ideal candidate is a proactive leader who thrives in a fast-paced environment, enjoys building relationships, understands the importance of member engagement, and can manage multiple events, committees, partners, sponsors, and deadlines at once. This role requires both strategic planning and hands-on execution.
Key Responsibilities
Event Planning and Execution
- Plan, coordinate, and execute Chamber events of all sizes, including networking events, ribbon cuttings, educational programs, committee events, signature events, conferences, expos, and special initiatives.
- Manage event logistics from start to finish, including venue coordination, timelines, registration, room layouts, catering, audiovisual needs, signage, supplies, staffing, and post-event follow-up.
- Create and maintain event timelines, checklists, budgets, run-of-show documents, and internal planning documents.
- Serve as the primary point of contact for event hosts, venues, speakers, sponsors, vendors, volunteers, committee chairs, and attendees.
- Ensure events are professional, well-organized, on-brand, and aligned with the Chamber’s mission and member experience standards.
- Attend Chamber events as the point of contact, including early mornings and evenings.
- Coordinate event setup, registration, guest experience, sponsor visibility, program flow, and breakdown.
- Evaluate each event’s success through attendance, revenue, member engagement, sponsor satisfaction, and overall guest experience.
Committee Oversight and Support
- Provide leadership and administrative support for Chamber committees, including Programs, Ambassadors, Women in Business, Young Professionals, Public Policy, Founders, and Wellness.
- Work closely with committee chairs and volunteers to develop annual goals, meeting schedules, event concepts, and programming calendars.
- Help committees stay organized, productive, and aligned with the Chamber’s mission and strategic priorities.
- Coordinate committee meetings, agendas, follow-up items, volunteer assignments, and communication.
- Ensure committee-led events are properly planned, promoted, staffed, and executed.
- Support volunteer engagement, recognition, and accountability across all committee areas.
- Identify opportunities to strengthen committee participation, leadership development, and member recruitment.
Member, Sponsor, and Partner Engagement
- Build and maintain strong relationships with Chamber members, sponsors, community partners, venues, vendors, and volunteers.
- Work with the Chamber leadership team to identify opportunities for sponsorships, partnerships, host locations, and event enhancements.
- Support sponsor fulfillment by ensuring sponsors receive agreed-upon benefits, recognition, and visibility.
- Help create meaningful event experiences that increase member value, retention, engagement, and referrals.
- Represent the Chamber professionally at events, meetings, and community functions.
Event Revenue and Budget Management
- Assist in developing event budgets and revenue goals.
- Monitor event expenses to ensure events remain profitable and financially responsible.
- Track event-related income, including ticket sales, sponsorship revenue, exhibitor fees, and other event revenue streams.
- Work with Chamber leadership to evaluate pricing, sponsorship opportunities, and cost-control measures.
- Ensure all event costs are accounted for and that events contribute positively to the Chamber’s overall financial goals.
Communication and Promotion
- Work with the Chamber team to ensure event details are accurate and ready for promotion across the website, emails, newsletter, social media, and member communications.
- Provide event descriptions, speaker information, sponsor details, registration links, and logistical updates as needed.
- Communicate clearly and consistently with members, attendees, sponsors, speakers, venues, vendors, volunteers, and internal staff.
- Assist with post-event thank-you messages, sponsor recaps, surveys, and follow-up communication.
Administrative and Operational Responsibilities
- Maintain accurate event records, committee records, registration lists, sponsor details, vendor contacts, and planning documents.
- Use Chamber systems and tools to manage event registration, member communication, reporting, and internal workflows.
- Create systems and processes that improve event efficiency, consistency, and communication.
- Track event attendance, committee participation, sponsor fulfillment, and engagement metrics.
- Support other Chamber initiatives and special projects as needed.
Qualifications
- Minimum of 3–5 years of experience in event planning, association management, nonprofit programming, hospitality, business development, or a related field.
- Experience managing multiple events, deadlines, vendors, volunteers, and stakeholders at the same time.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to lead volunteers, committee chairs, members, and community partners with professionalism and confidence.
- Comfortable working in a fast-paced, member-focused environment.
- Strong problem-solving skills and ability to remain calm under pressure.
- Experience managing event budgets, sponsorships, or revenue goals preferred.
- Familiarity with chambers of commerce, membership organizations, nonprofits, or business associations preferred.
- Proficiency with common business and event tools such as Microsoft Office, Canva, email marketing platforms, event registration systems, CRM/member management software, and AI platforms.
- Ability to attend events throughout the Charlotte area, including mornings, evenings, and occasional weekends.

Work Environment
This is a full-time position based in Charlotte, North Carolina. The role requires regular attendance at Chamber events, committee meetings, member functions, and community programs throughout the Charlotte area. Some early morning, evening, and occasional weekend work will be required based on the Chamber’s event calendar.
