Typical Day in the Role
- Purpose of the Team: The purpose of this team is to execute high-visibility, high-impact internal programs for client's AI division, including intern engagement, new hire onboarding, specialized AI Academy initiatives, SharePoint and marketing, event logistics, and data analysis/metrics.
- Key projects: his role will contribute to planning and implementing large-scale employee experience programs, managing operational processes, and supporting event execution and reporting for a globally dispersed workforce of ~8,000 employees.

Summary:

Job Responsibilities:
- Coordinate projects, make detailed plans to accomplish goals and direct the integration of technical activities.
- Present and explain proposals, reports and findings to clients.
- Recruit employees, assign, direct, and evaluate their work, and oversee the development and maintenance of staff competence.
- Analyze technology, resource needs and market demand, to plan and assess the feasibility of projects.
- Confer with management, production and marketing staff to discuss project specifications and procedures.
- Review and recommend or approve contracts and cost estimates.

Education/Experience:

- Planning & Prioritization: Prioritize tasks across multiple programs (e.g., onboarding, intern events, AI Academy) based on urgency, dependencies, and stakeholder needs.
- New Hire Welcome emails: Send and track new hire welcome emails to meet week one deliverables, ensuring timely communication and a smooth onboarding experience.
- Program Coordination: Manage logistics and execution for multiple concurrent programs (e.g., onboarding, intern engagement,), ensuring timelines, invites, and stakeholder alignment are on track.
- Cross-Functional Collaboration: Partner with squad members, HR, Comms, Biz Ops teams to align on deliverables, resolve blockers, and adapt to shifting priorities in a fast-paced environment.
- Digital Content & Asset Management: Maintain and refresh SharePoint sites, digital documentation, and internal marketing collateral to ensure resources are current, accessible, and engaging.
- Data-Driven Decision Making: Use Power BI and Excel to monitor participation, sentiment, and engagement metrics. Surface insights to inform program strategy and continuous improvement.
- Communications & Content: Monitor program inboxes and Teams channels and respond / troubleshoot queries, feedback, or last-minute changes. Draft internal marketing collateral (e.g., newsletter blurbs, Teams posts) to drive awareness and engagement. Prepare communications for upcoming events, including run-of-show docs and speaker briefs. Draft and deliver concise, high-impact reports and dashboards that translate program progress into clear narratives for leadership.
- Process Optimization: Identify opportunities to streamline workflows, scale programs, and integrate AI-native solutions that improve speed, clarity, and impact.
Preferred Qualifications
- Learning & Development (L&D): Background or experience supporting L&D programs, curriculum development, or internal training initiatives (such as a corporate university or academy model).
- Cross-functional Leadership: Experience driving cross-functional initiatives to impactful outcomes with clarity & adaptability in ambiguous or fast-evolving contexts.
- AI-first thinking: Proactively seek ways to improve workflows with AI or redesign workflows to be AI-native, and leverage AI tools to improve execution. AI agent building experience a plus.\
Education/Experience
- PMI/PMP Certified a plus.
- Bachelor’s degree in a related field.
- 5-7 years' experience working in a start-up or corporate environment and executive office.
