Role Overview
We are seeking a highly organized, proactive Project Coordinator (Marketing & Operations) to support cross-functional initiatives across marketing, membership, and internal operations.
This role is ideal for someone who:
- Works independently and takes initiative
- Communicates clearly and confidently with internal teams, freelancers, and occasionally clients
- Enjoys managing systems, workflows, and details
- Is comfortable shifting between execution, coordination, and administrative support
You will be a key operational partner, helping ensure that work moves forward smoothly, deadlines are met, and internal processes are well supported.
Compensation
The salary range for this role is $65,000–$75,000 annually, depending on experience, demonstrated capabilities, and alignment with the role’s core responsibilities. This position is scoped as a coordination and operations support role.
Key Responsibilities -
Marketing & Communications Operations
Core Responsibilities
- Prepare, schedule, and send email campaigns using Customer.io (CIO)
- Manage email lists, tagging, imports, and platform hygiene
- Maintain email templates and best practices documentation
- Monitor and respond to the marketing inbox
- Execute pre-planned social media posts across LinkedIn, Instagram, and YouTube
- Track engagement metrics and basic analytics
- Manage LinkedIn newsletter content and publishing
- Support website updates including blog posts, forms, landing pages, and content edits (WordPress/Webflow)
Stretch Responsibilities
- Contribute to improving email or social workflows and automation
- Support new campaign or landing page builds in Webflow
Project & Workflow Coordination
Core Responsibilities
- Set up, maintain, and manage projects in Asana
- Track timelines, approvals, and deliverables across marketing initiatives
- Coordinate with freelancers and internal team members
- Support weekly marketing meetings (agenda preparation, notes, follow-ups)
- Ensure assets move through review and approval processes efficiently
Stretch Responsibilities
- Identify and recommend process improvements for project workflows
Membership & Product Operations
Core Responsibilities
- Monitor and respond to the 1000WATT membership inbox
- Manage member onboarding, cancellations, billing issues, and refunds
- Send welcome emails and manage user setup
- Support webinar and event logistics (Zoom setup, staff invites, live support)
- Upload and manage content in Kajabi, including thumbnails and downloads
- Moderate membership community access and content posting
- Assist with product or event launch coordination
Stretch Responsibilities
- Support video editing, uploads to Vimeo, and basic media management
Internal & Administrative Support
Core Responsibilities
- Maintain PTO and holiday calendars and update Asana accordingly
- Organize internal servers and shared files
- Proofread internal and member-facing communications
- Share product updates and releases with internal staff
- Provide general administrative support as needed
Stretch Responsibilities
- Support internal documentation and SOP creation
- Assist with additional operational initiatives as the team evolves
Required Skills & Experience
Core Requirements
- 3+ years of experience in a coordination, operations, marketing, or administrative role
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Ability to work independently in a remote, small-team environment
- Comfort being client-facing when needed
- High attention to detail and strong follow-through
Technical Experience
- Asana or similar project management tools
- Email marketing platforms (Customer.io, Mailchimp, or equivalent)
- CMS platforms (WordPress, Webflow)
- Familiarity with Kajabi, Zoom, Vimeo, and social media platforms
Nice to Have
- Experience in an agency, startup, or small business environment
