Rallyday Partners is seeking an exceptional, highly organized Executive Assistant & Office Operations Manager to support the firm’s Executive Committee and oversee key elements of our day-to-day operations and internal experience. In this integral role, you will work closely with the Chief of Staff to align priorities and ensure seamless executive coordination, operational excellence, and a high-quality experience across the firm.
Reporting directly to the Chief of Staff, this role requires exceptional attention to detail, strong communication skills, sound judgment, and the ability to manage multiple priorities in a fast-paced, dynamic environment. Role Description
Executive Committee Support (approximately 40% of the Role):
- Proactively manage and optimize complex calendars for the Executive Committee, ensuring efficient scheduling and thoughtful prioritization.
- Coordinate all aspects of executive travel, including flights, accommodations, ground transportation, and detailed itineraries, in alignment with firm policies and preferences.
- Own the firm’s annual meeting cadence, including building and maintaining the master calendar, proactively managing conflicts, and ensuring consistent execution of executives, investment, and firm-wide meetings.
- Serve as a professional point of contact for internal and external stakeholders, fostering strong relationships and representing the Executive Committee with discretion and polish.
- Manage inbound and outbound communications on behalf of the Executive Committee, ensuring timely, accurate, and professional responses.
- Coordinate end-to-end meeting logistics, including agenda preparation, material collation, note-taking as needed, and timely distribution of follow-ups and action items.
- Accurately document, code, and submit Executive Committee expenses in accordance with firm policies and timelines.
- Track and coordinate executive administrative requirements, including scheduling conferences, board meetings, deadlines, and required documentation.
- Serve as first-line support for executive technology needs, coordinating with external IT resources to quickly resolve issues and minimize disruption.
Office Operations & Firm Experience (Approx. 40%)
- Own day-to-day office operations to ensure a seamless, welcoming, and well-functioning workplace.
- Coordinate office vendors and services, including supplies, maintenance, AV support, and recurring services (day-to-day management).
- Oversee all conference room scheduling, setup, breakdown, and guest experience for internal and external meetings.
- Manage weekly lunches, office supplies, mail distribution, and general office logistics.
- Execute logistics for firm events and internal gatherings, including founder visits, team retreats, social events, family night, and annual holiday party.
- Partner with the Chief of Staff to support employees onboarding and offboarding, including coordination of logistics, systems access, scheduling, and a seamless day-one and transition experience.
- Support firm culture initiatives through thoughtful execution of internal programs, company annual yearbook, celebrations, and experiences.
Special Projects, Marketing & Administrative Support (Approx. 20%)
- Provide operational support for select marketing initiatives, including gifting, mailings, social media posting from pre-approved content, and website updates as directed.
- Coordinate podcast logistics, including guest scheduling, equipment shipping, recording coordination, and editor communication.
- Execute logistics for marketing initiatives, including gifting, mailings, social media posting from pre-approved content, newsletter distribution, and website updates as directed.
- Take meeting minutes and assist with the preparation, formatting, and review of presentations, communications, and other firm documents as needed.
- Maintain organized filing systems, lists, and databases to support efficient information retrieval while ensuring confidentiality and data security.
- Identify opportunities to improve administrative workflows and proactively document and implement process improvements.
- Execute ad hoc and time-sensitive initiatives critical to firm priorities, as assigned by the Chief of Staff, requiring strong judgment, flexibility, and attention to detail.
Qualifications
- 5+ years of experience as an Executive Assistant, Office Manager, Operations Manager, or similar role supporting senior executives.
- Proven ability to manage complex calendars, travel, and logistics with precision.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- High degree of discretion and comfort handling confidential information.
- Proactive, solution-oriented self-starter with the ability to anticipate needs, take initiative, and operate independently.
- Ability to thrive in a fast-paced, high-pressure, and dynamic environment; adapt to changing priorities; and handle unexpected situations with composure and flexibility.
- High degrees of self-awareness and accountability, including the ability to admit mistakes, learn quickly, and course correct.
- Experience working closely with a Chief of Staff or senior leadership team preferred.
- Strong technical aptitude and comfort navigating new tools, with experience using Microsoft 365 (PowerPoint, Excel, Outlook, Word), Slack, Notion, Expensify, and scheduling platforms.
